100% Onsite (08:00 AM to 05:00 PM)

W2 Contract Overview Epitec is seeking a highly organized and detail-oriented Fleet Operations & Prototype Vehicle Coordinator to support a growing fleet of prototype and benchmark vehicles. This role is ideal for someone with experience in fleet operations, automotive logistics, dealership services, or vehicle administration who enjoys working in a fast-paced environment and collaborating across technical and operational teams. The successful candidate will play a critical role in keeping vehicle assets operational, coordinating schedules and facility access, supporting compliance programs, and assisting with vehicle testing and benchmarking activities. Key Responsibilities Fleet Management & Vehicle Logistics Conduct regular physical inspections of fleet vehicles to ensure road readiness. Coordinate routine maintenance, repairs, fueling, detailing, and fluid checks. Manage vehicle availability and logistics for reviews, events, and team activities. Oversee key and fuel card inventories while maintaining accurate usage records. Utilize fleet management and connected vehicle applications to manage and monitor vehicle access. Scheduling & Operational Coordination Organize vehicle, prototype bench, and lab scheduling using digital calendar and scheduling tools. Coordinate the movement of prototype benches, fleet vehicles, and benchmark vehicles into and out of evaluation facilities. Ensure efficient utilization of fleet assets and lab resources. Driver Compliance & Access Administration Manage driver clearance and authorization programs. Verify manufacturer plate certifications and related requirements. Coordinate building and garage access for approved personnel. Process overnight and weekend driving authorizations. Train personnel on fleet access procedures and policies. Communication & Policy Support Monitor team collaboration channels and respond to fleet or bench-related inquiries. Publish operational updates and fleet-related announcements. Maintain and distribute fleet policies, procedures, and compliance guidelines. Vehicle Testing & Benchmarking Support Participate in prototype vehicle test drives and static evaluations. Support validation activities related to user interface software and vehicle systems. Assist with data collection, observations, and documentation during testing and benchmarking activities. Required Qualifications High School Diploma/GED or Associate Degree. 1-3 years of experience in: Fleet operations or fleet management Automotive logistics Vehicle rental administration Dealership service coordination Automotive studio or prototype vehicle support Valid, unrestricted driver's license with a clean driving record. Ability to comfortably operate a variety of passenger vehicles, including prototype vehicles. Strong organizational, problem-solving, and multitasking abilities. Excellent verbal and written communication skills. Proficiency with scheduling tools, data entry systems, and Microsoft Office applications. Preferred Qualifications 2-3 years of experience in vehicle fleet operations or fleet management. Experience with fleet tracking software and connected vehicle applications. Experience using collaborative scheduling platforms such as Airtable or digital calendar systems. Exposure to Human Machine Interface (HMI), User Interface (UI), or User Experience (UX) environments. Familiarity with vehicle testing, benchmarking, or prototype evaluation activities. Ideal Candidate Self-starter who can work independently and manage competing priorities. Strong attention to detail and commitment to compliance and safety. Highly accountable when managing physical assets, including vehicles, keys, and fuel cards.
