Job Overview Equipment Coordinator is responsible for the tracking, coordination, compliance, and maintenance of the company's vehicle and equipment fleet. This role ensures equipment is properly scheduled, documented, maintained, and billed while meeting all safety, regulatory, and environmental requirements. The coordinator works closely with project teams, vendors, and internal departments to support efficient fleet operations, accurate reporting, and required training programs. Responsibilities Coordinate and oversee scheduling and execution of maintenance, repairs, and inspections for all fleet vehicles and equipment. Maintain detailed records of maintenance activities, inspections, repairs, parts used, and DOT compliance documentation. Ensure compliance with applicable safety regulations and DOT requirements for vehicle operation and equipment handling. Manage inventory of parts, tools, and supplies for ongoing maintenance and repair operations. Assist with procurement of new equipment, replacement parts, and rental equipment. Receive, log, and track rental equipment orders, deliveries, and returns. Secure oversize/overweight permits as required. Support safe operation of heavy machinery, including excavators, cranes, forklifts, and tractor-trailers. Coordinate with external vendors and service technicians for specialized repairs, inspections, or fabrication. Conduct or coordinate training on equipment operation and safety procedures. Perform other duties as assigned to support fleet, equipment, and project operations. Qualifications Minimum Requirements High school diploma or equivalent and 5+ years of experience in fleet management, equipment procurement, contract compliance, equipment inspections, or a related field. Experience developing technical specifications for equipment/vehicle purchases and conducting compliance inspections. Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint, Teams). Strong attention to detail with ability to manage multiple priorities. Demonstrated ability to build and maintain effective working relationships. Valid driver's license; ability to pass a DOT physical. Preferred Qualifications Experience with Fleet Management Information System (FMIS) software. Certification/training in equipment safety inspection, fleet diagnostics, or telematics. Experience conducting operational readiness or specification-compliance inspections. Experience with commercial vehicle administration or licensing. Experience with public sector/municipal fleet procurement compliance.
