Job Description
Position Summary The Shipping Coordinator supports the accurate, timely, and efficient movement of products and materials through the Poplar Bluff facility. This position coordinates daily shipments, prepares and maintains freight documentation, communicates with warehouse employees, carriers, vendors, and customers, and helps ensure inventory and shipping records are complete and accurate. The ideal candidate is organized, dependable, detail-oriented, and comfortable managing multiple priorities in a fast-paced environment. Key Responsibilities Coordinate outbound and inbound shipments using truckload, less-than-truckload (LTL), and ground parcel carriers. Prepare, review, and maintain Bills of Lading, packing slips, invoices, labels, and other required freight documentation. Schedule carrier pickups and deliveries; communicate shipment details, changes, delays, and special requirements to the appropriate parties. Work closely with warehouse staff to confirm product availability, shipment readiness, loading priorities, and accurate order fulfillment. Enter and maintain shipping, inventory, and order information in the company ERP and applicable logistics systems. Assist with inventory control by researching discrepancies and coordinating corrections with warehouse and inventory personnel. Maintain organized electronic and paper files for shipping records, carrier documents, reports, and correspondence. Prepare routine shipping reports and professional email or written correspondence as needed. Communicate professionally with drivers, carriers, vendors, customers, and internal departments by phone and email. Follow applicable domestic and international shipping requirements, workplace safety procedures, and company policies. Help resolve shipping issues by gathering information, evaluating options, and communicating practical next steps. Provide general office and administrative support for the shipping and logistics function as assigned. Required Qualifications High school diploma or GED. Two to five years of experience in shipping, logistics, office management, warehouse administration, or a related administrative role. Experience preparing freight documentation, including Bills of Lading, packing slips, and invoices. Proficiency with Microsoft Office, including Word, Excel, Outlook, and PowerPoint. Experience using shipping software, logistics management systems, and ERP or inventory management software. Ability to communicate clearly and professionally with warehouse staff, drivers, carriers, vendors, customers, and coworkers. Strong organization, time management, attention to detail, problem-solving, and decision-making skills. Ability to manage competing deadlines and work effectively under pressure. Preferred Qualifications Associate or bachelor's degree in Business Administration or equivalent work experience in Logistics or Supply Chain. Experience with NetSuite, SAP, Oracle, or a comparable ERP platform. Familiarity with domestic and international shipping regulations. Experience coordinating truckload, LTL, and ground parcel shipments. Experience supporting inventory control and warehouse operations. Collaborative and service-focused, with the ability to build productive working relationships Work Environment This position is based at the Empire Comfort Systems facility in Poplar Bluff, Missouri. The role works closely with shipping, warehouse, inventory, carrier, and office personnel and requires regular use of a computer, phone, ERP system, and shipping applications. The employee must be able to perform effectively in an active manufacturing and warehouse environment while following all applicable safety procedures.
