First Shift/Flexible Position Summary The Shipping & Shuttle Data Coordinator is responsible for accurately entering, reviewing, and maintaining shipment and shuttle information within the company's ERP systems. This position remains part of the Shipping & Receiving Department but reports directly to the Controller because of its responsibility for accurate operational records and transaction reporting. The position will support daily Shipping & Receiving operations while gradually transitioning into greater responsibility for entering shipments, shuttle transfers, and related documentation. The coordinator will also provide secondary data-entry support for approved inventory adjustments. This is not an inventory-control position and does not have responsibility for independently authorizing inventory changes. Essential Duties and Responsibilities Shipment and Shuttle Data Entry Enter outbound shipment information accurately and promptly into the appropriate company systems. Enter and process shuttle transfers between the Bleecker Street facility and off-site storage locations. Review bills of lading, transfer documents, pick lists, receiving records, and other paperwork before completing system entries. Confirm that shipment and shuttle quantities entered into the system agree with the supporting documentation. Verify product numbers, quantities, lot codes, locations, dates, and destinations for accuracy. Maintain current and accurate electronic and paper records for shipments and shuttle activity. Correct data-entry errors promptly after receiving appropriate supporting information and authorization. Monitor transactions to ensure shipments and transfers are properly completed in the system. Shipment and Shuttle Verification Compare physical counts and shipment paperwork with the information entered into the system. Verify the accuracy of shipment and shuttle counts to help minimize entry errors, incorrect transfers, and inventory discrepancies. Identify missing, incomplete, or inconsistent documentation before processing transactions. Communicate discrepancies to the appropriate Shipping & Receiving supervisor, manager, or the Controller. Follow up on open or incomplete shipment and shuttle transactions. Assist with researching differences between shipment paperwork and system records. Inventory Adjustment Support Provide secondary data-entry support for inventory adjustments that have been reviewed and approved by authorized management. Confirm that required documentation and approval are received before entering an inventory adjustment. Accurately enter approved adjustment quantities, product information, lot codes, locations, and explanations. Maintain supporting documentation for all adjustments entered. Refer inventory questions, unexplained variances, and adjustment decisions to the Controller or appropriate manager. The position will not independently approve inventory adjustments or make inventory-control decisions. Assist with the annual physical inventory process by coordinating inventory counts, performing and verifying counts, auditing count accuracy, investigating variances, and completing data entry and reconciliation activities as needed. Perform and assist with cycle counts, reconcile inventory variances, investigate discrepancies, and ensure accurate inventory records through timely count verification and reporting. Shipping Support Assist with regular Shipping administrative duties as operational needs require. Work closely with warehouse employees, forklift operators, shuttle drivers, supervisors, managers, and Finance. Help ensure paperwork is complete before loads are shipped, received, or transferred. Assist with shipment schedules, transfer records, filing, reports, and general departmental data entry. Provide backup administrative support for the Shipping & Receiving Department. Perform audits of documentation for shipments/shuttles by sample reviewing trailer loads. Maintain confidentiality and accuracy when working with company records. Follow all safety, SQF, GMP, food-safety, and company requirements. Performance Expectations Performance in this role will be measured by: Accuracy and timeliness of shipment and shuttle data entry. Agreement between physical counts, supporting paperwork, and system records. Reduction in shipment, shuttle, and transfer-entry errors. Timely completion of shipment and shuttle transactions. Accuracy of approved inventory-adjustment entries. Completeness and organization of supporting documentation. Timely communication and resolution of missing or incorrect information. Effective coordination with Shipping & Receiving, Warehousing, Production, Finance, and off-site facilities. Qualifications Previous experience in shipping, receiving, warehousing, logistics, data entry, or an administrative support role preferred. Experience entering shipments, transfers, or warehouse transactions into an ERP or warehouse-management system preferred. Strong data-entry, organizational, and recordkeeping skills. Excellent attention to detail and commitment to accuracy. Ability to compare system information with shipment paperwork and physical counts. Basic mathematical and problem-solving skills. Proficiency in Microsoft Excel, email, and applicable company systems. Ability to communicate professionally with employees and leaders across departments. Ability to prioritize multiple responsibilities in a fast-paced manufacturing and warehouse environment. Organizational Relationship The Shipping & Shuttle Data Coordinator remains a Shipping & Receiving Department position and works closely with departmental leadership and employees. The position reports directly to the Controller to support accurate shipment, shuttle, transfer, and adjustment reporting within the company's systems. n logistics!
