This position plays an important role in keeping freight moving efficiently by coordinating with warehouse personnel, production, customer service, sales, drivers, carriers, and the Freight Manager. Key Responsibilities Coordinate daily LTL, truckload/OTR, company fleet, and third-party carrier shipments. Schedule pickups and deliveries and communicate directly with drivers and carriers. Check drivers in and out, assign docks, and coordinate loading priorities with warehouse personnel. Prepare and review Bills of Lading (BOLs), shipping documents, loading tallies, dispatch sheets, freight numbers, and customs documentation when applicable. Route shipments, obtain freight quotes, put lanes out for bid, select appropriate carriers, and assign pickup appointments. Track shipments and communicate delays, missed pickups, delivery issues, and other exceptions. Verify orders are complete, properly staged, documented, and ready for shipment. Coordinate order readiness and scheduling with Production, Customer Service, and Sales. Schedule and process returns, including required paperwork and inspection coordination. Obtain and provide Proof of Delivery (POD) documentation. Support freight claims by gathering signed BOLs, PODs, invoices, pre-loading photos, damage photos, inspection documentation, and other required records. Review and approve assigned freight and transportation invoices in DocuWare, verifying rates, fuel surcharges, accessorial charges, freight numbers, and supporting documentation before approval. Identify duplicate, incorrect, unsupported, or questionable freight charges and escalate discrepancies to the Freight Manager before payment. Maintain accurate shipping records and provide timely communication regarding operational and transportation issues. Qualifications Previous experience in shipping, logistics, transportation coordination, customer service, or warehouse operations preferred. Working knowledge of LTL and truckload transportation, freight carriers/brokers, BOLs, PODs, shipping documentation, and freight claims. Experience with ERP/shipping systems and document-management or invoice-approval systems; DocuWare experience preferred. Strong organizational, communication, problem-solving, and follow-up skills. Ability to manage multiple shipments, priorities, and carrier issues in a fast-paced operational environment. Strong attention to detail and the ability to work effectively with warehouse teams, drivers, carriers, production, sales/customer service, and management.
