OPEN TO MEMBERS OF AFSCME 109 PUBLIC WORKS - SOLID WASTE ADDENDUM BARGAINING UNIT ONLY
Are you organized, dependable, and someone who enjoys helping others while keeping things moving? Snohomish County Solid Waste Division (SWD) is looking for an Office Coordinator to provide essential administrative and customer service support across our busy operations. As an Office Coordinator, you'll be a key point of contact for staff and the public while helping ensure our facilities have the information, supplies, and administrative support they need to operate efficiently. You'll work with employees throughout the division, respond to customer questions, maintain important records, and help coordinate the day-to-day details that keep our operations running.
Key responsibilities include:
Answering questions and providing information to the public through the Solid Waste Call Center. Maintaining accurate and organized records in accordance with the County's records retention requirements. Communicating important information to staff across multiple facilities and coordinating with internal and external partners. Monitoring facility administrative needs and ensuring essential supplies, including First Aid materials, are available. Supporting scheduling, inventory, supply requests, and other administrative activities. Qualified candidates will be proficient in Microsoft Office. The successful candidate will have excellent communication skills and will demonstrate the ability to maintain effective working relationships with superiors and co-workers. Attention to detail and the ability to prioritize daily tasks are important for this role. Additionally, please respond to the supplemental essay questions in this job posting . Work Schedule/ Teleworking Options This position will work Monday - Friday 8:00 a.m. to 5:00 p.m . The work associated with this position will initially be full-time in the office during the training period. Then a possibility hybrid of remote work and in-office work options will be evaluated and implemented as needed and assigned. For employees who prefer to work in the office full-time, that option is also available. Employees will be provided with a County issued laptop and remote work requires that the employees maintain a home workspace with an internet connection where they can reliably perform work and remain available and responsive during scheduled work hours. Snohomish County has a robust collection of tools and resources to support working remotely. A Snohomish County Telework agreement is required for employees assigned to telework. Employees must reside in Washington state and within a reasonable distance to their Snohomish County worksite to respond to workplace reporting requirements. BASIC FUNCTION
To perform a variety of secretarial work and handle administrative details.
STATEMENT OF ESSENTIAL JOB DUTIES
Composes general correspondence, reports, statements and other documents as necessary; sets up formats for forms, charts and graphs. Processes and sorts mail; stuffs envelopes and addresses outgoing mail. Enters data; sets up and maintains files and filing systems; retrieves information and purges files as needed. Receives and directs incoming calls and/or visitors; takes messages, determines needs, answers general questions and furnishes information regarding established procedures, policies and services. Schedules appointments, meetings, conference rooms and/or vehicles.
STATEMENT OF OTHER JOB DUTIES
Maintains inventory records and custody of supplies; requisitions supplies and equipment; arranges appropriate maintenance services for the repair of facilities or equipment. Collects and compiles data; prepares standard forms and reports, requisitions and vouchers; may maintain employee leave records and schedules. May perform all the duties of subordinate level employees. May provide guidance and instruction to employees in lower-level classifications. Performs related duties as required. One (1) year of typing and secretarial experience; OR, any equivalent combination of training and/or experience that provides the required knowledge and abilities. Must pass job related tests.
SPECIAL REQUIREMENTS
May be required to type up to 50 wpm.
KNOWLEDGE AND ABILITIES
Knowledge of:

SUPERVISION
Employee reports to a supervisor as assigned.
