N/A Function / Position Summary The Buyer will assist department administration in obtaining correct documentation required for procurement thresholds set by the state of Illinois. This position shall assume the responsibilities of assisting in all purchasing and procurement processes. The ideal individual is analytical, detailed oriented, and will have the ability to multitask. The individual must be able to communicate professionally both verbally and in writing. District U-46's Buying Team must demonstrate a high level of customer service to both internal and external relationships. Job Duties / Responsibilities Assist in developing and maintaining effective systems for monitoring purchase orders and procurement activities. Determine appropriate procurement methods and obtain competitive pricing through quotation processes while maintaining accurate records for analysis and audit purposes. Process supply and equipment requisitions and purchase orders for district departments in a timely manner. Maintain ongoing communication with vendors throughout the purchasing process; identify and escalate procurement issues as needed. Support administrators in evaluating and utilizing existing resources prior to initiating new purchases. Assist with the procurement of supplies, materials, equipment, and services for the District. Support the bidding and Request for Proposal (RFP) processes, ensuring compliance with district policies and procedures. Collaborate effectively with administration, cross-functional departments, and vendors to promote proper planning, standards, and procurement practices. Provide training and support to district staff on purchasing protocols and financial system usage. Conduct internal audits to ensure district-wide compliance with purchasing policies and procedures. Maintain strong vendor relationships and deliver a high level of customer service. Assist in the development, implementation, and continuous improvement of operating procedures. Support inventory management efforts to maintain appropriate minimum and maximum stock levels. Coordinate with shipping and receiving to ensure timely delivery fulfillment, resolution of backorders, processing of returns, and correction of shipment discrepancies. Work collaboratively in a team-oriented environment. Perform other duties as assigned. Education Bachelor's Degree strongly preferred (Business Administration, Finance, Supply Chain, or related field). Bilingual - Spanish/English (written/verbal) preferred.
Experience / Knowledge
Experience in purchasing or procurement preferred. Proficiency in Microsoft Office Suite, Google Suite and database systems. Experience working in public sector or education environments. Ability to collaborate with staff and communicate ideas clearly and effectively using written and verbal communication. Ability to manage multiple priorities and deadlines effectively. Excellent problem solving and customer service skills. Physical Demands Ability to work on a computer over the major portion of the work day. Ability to work in a fast paced environment. Terms of Employment This is a 12-month work year position. Salary and benefits are established by the Board of Education. The full salary range for this position is $54,752.00 - $82,139.00.
