POSITION PURPOSE/SUMMARY
Provides comprehensive year-round administrative support by managing attendance operations, maintaining accurate student records, and delivering essential clerical services. Ensure continuous office operations during the academic year and summer periods to support district functions and student services.
QUALIFICATION REQUIREMENTS
The 12-month Office Clerk shall have a high school diploma or equivalent with demonstrated proficiency in clerical and organizational skills as verified through district assessments. Must possess strong attention to detail, effective communication abilities, and competency in office technology and student information systems.
ESSENTIAL DUTIES
Serve as the primary lead for student records and registration; manage the posting of grades to student information systems and oversee the strict timelines associated with report card generation and distribution. Maintain organized student record systems, including the creation of new student files, processing transfers, and ensuring all digital records are current and accurate. Support continuous district operations during summer months, focusing on end-of-year grade processing and start-of-year registration. Serve as the primary backup for substitute management if the Building Secretary is absent; provide secondary support for attendance data entry and late arrivals if the Attendance Clerk is unavailable. Assist with the identification and processing of district surplus materials and equipment as needed. Provide professional telephone support and customer service; manage inquiries from families, staff, and the community regarding student records. Maintain the strictly confidential nature of all student records and school-related matters in compliance with district policy.
ADDITIONAL DUTIES
All other duties as assigned by the supervisor. Operate office machinery. Attend in-service workshops related to the job description to remain current.
MENTAL DEMANDS
Ability to maintain highly confidential information; communicate clearly both orally and in writing, and/or ability to reason and make appropriate decisions. Ability to manage strict academic cycles (grading periods) with high attention to detail; ability to solve complex registration issues and perform in a fast-paced environment.
PHYSICAL DEMANDS
Regularly required to sit, talk, and hear; close vision ability for extended computer use. Must have the ability to work in adverse weather conditions (rain, heat, snow, and cold) when assigned to playground supervision or bus duty. Occasionally lift, carry, move, push, or pull up to 20 pounds. TERMS OF EMPLOYMENT
Employment will be on an at-will basis for 12 months with two weeks vacation, beginning July 1, or from the time of employment for the duration of the school year with prorated vacation and/or personal leave. Each office clerk will be provided a work calendar showing the specific daily work schedule of the employee. The work calendar may be modified by the Board of Education at any time, as needs dictate. Eight hours will constitute a workday. The Chief Human Resources Officer will establish a definite daily schedule. The yearly salary will be disbursed in nineteen (19) equal payments or twenty-four (24) equal payments per employee's choice.
EVALUATION
Performance of this job will be evaluated annually in accordance with the provisions of the Board's policy on evaluation of support staff personnel.
