Job Description

This nonexempt position acts as a liaison between the patient and the physician, as he/she functions as the contact for his/her clinical staff regarding patient inquiries.
    Essential Job Responsibilities:
    Responsible for review of appointments and chart content and ensuring that all patient inquiries are handled in a timely manner. Performs clerical duties related to clinical services including; screening calls, taking messages and assisting callers within his/her scope of knowledge; sorts and sends email/faxes/mail and distributes to appropriate person; Performs medical receptionist duties as necessary. Answers telephone, screens calls, takes messages, and provides information. Covers appointed Medical Assistant extensions while he/she is in clinic with Physician. Obtains, verifies, and updates patient information and provides support services to patients and medical staff. Supports clinical staff by processing requests for medical information via email / fax / mail. Reviews incoming dictation for accuracy, including patient name and medical record number. Corresponds with Physician / clinical staff for any required corrections. Coordinates referrals to other physicians. Prepares and maintains Physician's calendar. Notifies clinical staff and Physician of important appointments, and maintains open communication with scheduling supervisor, appointment schedulers, and administration of changes in calendar that affect patient schedules or access to doctor.
    Education:
    High school diploma or general equivalency diploma (GED). Diploma as a medical administrative assistant from an accredited medical vocational course preferred.
    Experience:
    Minimum two years of administrative assistant experience in a medical office setting.
    Performance Requirements:
    • Knowledge:
      Knowledge of medical terminology and office procedures. Knowledge of grammar, spelling, and punctuation to type from draft copy and review and edit reports and correspondence. Knowledge of private practice care, examination, diagnostic and treatment room procedures.
    • Skills:
      Skill in operating office equipment. Skill in organizational matters, including time management, prioritization, multitasking, and problem-solving. Skill in performing multiple tasks simultaneously while maintaining a professional attitude.
    • Abilities:
      Able to learn/use other computer programs including Google office, Excel, e-mail, Internet. Ability to learn and navigate within EMR/EPM system.
    • AthenaNet experience a plus.
    Ability to read, understand, and follow oral and written instructions. Ability to communicate clearly and concisely. Ability to establish and maintain effective working relationships with patients, physicians and other clinical staff, and the public.
    Work Environment:
    Work performed in office environment. Involves frequent contact with staff and patients.
    Mental/Physical Requirements:
    Daily activity is 90 percent sitting and 10 percent walking or standing.
