Job Description

The Office of Chief Medical Examiner investigates cases of persons who die within New York City from criminal violence, by accident, by suicide, suddenly when in apparent health, when unattended by a physician, in a correctional facility or in any suspicious or unusual manner or where an application is made pursuant to law for a permit to cremate a body of a person. Innovate to meet evolving needs We are currently seeking a College Aide to support key HR initiatives, including KPI tracking, data reporting, and our record digitization project, etc. The College Aide selected will contribute to a wide range of projects and should demonstrate strong interpersonal skills and the ability to collaborate across multiple teams, the ability to multitask, prioritize, and meet deadlines in a fast-paced environment, a willingness to learn new systems and support digital transformation initiatives, and a problem-solving mindset with the ability to take initiative and work independently. The College Aide will support projects including but not limited to:
  • Design graphics, organizational charts, and supporting visual materials that contribute to a clear, organized, and engaging HR environment.
  • Assist with tracking KPIs and OKRs for the Human Resources unit.
  • Assist with handling employee filing and maintaining organized digital and physical records.
  • Support the creation of PowerPoint presentations, dashboards, and other visual materials.
  • Assist with calendar invites, scheduling, and coordination of meetings and events.
  • Submit tickets for events and coordinate logistics, ensuring smooth planning and execution.
  • Assist with the digital office transition agency projects.
  • Review surveys and assist with creating data reports to support HR initiatives and decision-making.
  • Provide support to the volunteer and Internship programs.
  • Assist with the retrieval, tracking, and filing of employee licenses and credentials.
  • Provide support for agency-wide projects, HR initiatives, and special events.
  • Provide general administrative support as needed.
SPECIAL NOTE
Selected candidates will be required to provide a DNA sample by swabbing.

Minimum Qualifications For Assignment Level I:
Matriculation at an accredited college or graduate school. Employment is conditioned upon continuance as a student in a college or graduate school. For Assignment Level II (Information Technology): Matriculation at an accredited college or graduate school. Employment is conditioned upon continuance as a student in a college or graduate school with a specific course of study in information technology, computer science, management information systems, data processing, or closely related field, including or supplemented by 9 semester credits in an acceptable course of study. For Assignment Level III (Information Technology Fellow): Matriculation at an accredited college or graduate school. Employment is conditioned upon continuance as a student in a college or graduate school with a specific course of study in information technology, computer science, management information systems, data processing, or other area relevant to the information technology project(s) assigned, including or supplemented by 9 semester credits in an acceptable course of study. Appointments to this Assignment Level will be made by the Technology Steering Committee through the Department of Information Technology and Telecommunications.
SPECIAL NOTE
Maximum tenure for all Assignment Levels in the title of College Aide is 6 years. No student shall be employed more than half-time in any week in which classes in which the student is enrolled are in session. Students may be employed full-time during their vacation periods. Preferred Skills
  • Strong analytical skills with the ability to interpret data and produce clear reports

  • Ability to review surveys, synthesize findings, and support data-driven decision-making
  • Familiarity with dashboards, KPI/OKR tracking, or performance measurement tools
  • Excellent written and verbal communication skills

  • Ability to manage digital and physical records accurately
  • Experience coordinating logistics, scheduling, and event support
  • Comfort working with HR systems, databases, or HRIS platforms
