PROTECTION ORDER SPECIALIST

5/2023 Under the direction of the Small Claims Magistrate, the Protection Order Specialist is responsible for assisting members of the public with intake, completion, and submission for judicial proceedings of applications for orders of protection. This position requires an understanding of Court processes and the Indiana Code applicable to the form and function of orders of protection. This position is covered under the Superior Court Employee Handbook. This is an employee-at-will position.ESSENTIAL FUNCTIONS
Receives and reviews applications for orders of protection under the Indiana Civil Protection Order Act. Reviews applications for orders of protection for accuracy and completeness of paperwork to ensure that files are ready for hearing by a judicial officer. Enters data related to orders of protection into the Indiana Protection Order Registry and other associated Court records management systems, including, but not limited to, Odyssey, INCite and Quest, as applicable. Conducts interviews with applicants and gathers necessary data to facilitate the completion of applications for orders of protection in accordance with local trial rules and in coordination with initial and dispositional hearing schedules. Observes strict confidentiality guidelines from the Indiana Supreme Court with all aspects of case handling. Performs front-line customer service functions intended to facilitate smooth Court operations and a resolution to an application for an order of protection. Acts, as needed, as liaison between the Prosecutor's Office, Judges, and law enforcement officials for the constituent. Assists in scheduling of hearings on applications for orders of protection. Prepares memos, letters, statistical reports, and other related correspondence. Assists the public, answering questions in person, by telephone, and by email, and accessing court case files. Participates in special events that contribute towards public awareness of and utilization of Court services. Coordinates with other community entities and local government agencies involved with victims of domestic or sexual violence to promote awareness of and access to Court services. Assists with the service of Out of Court/Out of State Temporary Protection Orders. Performs all other duties as assigned, including overtime as required.REQUIREMENTS
High School Diploma or GED with specialized training beyond High School in Paralegal or Criminal Justice fields, and more than one year of court-related experience Ability to pass applicable Indiana Supreme Court and case management certifications to be able to use INCite, Odyssey, and Quest Case Management Systems Demonstrated customer service skills, including the ability to work with and reach optimal resolutions with difficult people and those under emotional and physical stressesREQUIREMENTS
(Continued): Familiarity with the intake of applications for orders of protection to assist the public with the filing and processing of accurate applications Familiarity with local and regional resources available to help with immediate availability of shelter, counseling, or other short-term advocacy Knowledge of the Indiana Civil Protection Order Act, Indiana Code 34-26-5, as well as court policies and procedures governing filings for orders of protection Understanding of federal, state, and local trial rules and statutes governing the processing and scheduling of proceedings involving orders of protection Strong computer skills with the ability to use Microsoft Office and other job-related software Ability to complete a required typing test and obtain a preferred minimum of 45 WPM Spanish language proficiency preferred Ability to use a computer, copier, scanner, fax, and other job-related equipment Knowledge of electronic document production and filing techniquesDIFFICULTY OF WORK
The Protection Order Specialist performs work that is moderately complex when receiving and reviewing applications for orders of protection and ensuring their readiness for Court. An understanding of Court policies and procedures is required to review applications for orders of protection for accuracy and completeness of paperwork.RESPONSIBILITY
The Protection Order Specialist performs work that requires some analysis and judgment when assisting the public with the completion and submission of applications for orders of protection. Errors in work are not immediately apparent, but are revealed through delays in review and final action by the Court.PERSONAL WORK RELATIONSHIPS
The Protection Order Specialist maintains frequent contact with other County employees, personnel from related government and social agencies, and members of the general public when preparing applications for orders of protection and assuring their readiness for Court.WORKING CONDITIONS
The Protection Order Specialist works primarily in an office setting with frequent sitting and the ability to move about freely. Frequent lifting of up to forty pounds and some bending, pushing/pulling loads, reaching overhead, and kneeling are required. Frequent mental/visual effort and detailed inspection exist, and very frequent typing, attention to detail, monitoring of equipment, and proofreading are to be expected.SUPERVISION
