Job Description

Position Overview We are seeking a highly organized, detail-oriented professional to join our team as a Receptionist / Customer Service & Administrative Coordinator. This position serves as the first point of contact for customers and plays a critical role in supporting daily office operations. The ideal candidate is friendly, professional, and confident in making decisions independently. They must be able to thrive in a fast-paced environment, manage multiple priorities simultaneously, and maintain a high level of accuracy and attention to detail. Key Responsibilities Answer incoming phone calls and direct inquiries professionally and efficiently Schedule appointments, service calls, and customer requests Provide exceptional customer service to clients, vendors, and team members Coordinate technician schedules and respond to scheduling changes throughout the day Process and maintain paperwork, reports, and electronic records Monitor emails and respond promptly to customer inquiries Enter and update information accurately within company software systems Assist with invoicing, work orders, and administrative support tasks Communicate effectively with customers regarding scheduling, service updates, and job status Identify problems and make sound decisions quickly while maintaining excellent customer service Maintain confidentiality and professionalism at all times Support daily office operations and assist with special projects as needed Qualifications Previous experience in customer service, scheduling, reception, dispatching, or office administration preferred Strong computer skills and ability to learn new software quickly Excellent verbal and written communication skills Exceptional organizational and time-management abilities Ability to prioritize multiple tasks and meet deadlines Strong problem-solving and decision-making skills Ability to work independently with minimal supervision High attention to detail and accuracy Positive attitude and strong work ethic Dependable, punctual, and professional appearance Desired Traits We are looking for someone who: Enjoys helping customers and solving problems Remains calm and professional under pressure Takes initiative without being asked Thinks critically and makes good decisions quickly Can shift priorities in a fast-moving environment Is highly organized and detail-oriented Works well independently while also supporting a team Benefits Competitive pay based on experience Supportive team environment Ongoing training and development
