$22.00 - $24.00 per hour The Scheduling Coordinator plays an important role in keeping Anew's day-to-day programming organized and running smoothly. This position coordinates both client programming and Client Support Staff schedules , working across departments to make sure clients have the support and coverage they need throughout the week. This is a highly collaborative role that involves balancing a variety of moving pieces, including client appointments, staff coverage, transportation, recovery meetings, work development, housing and independent living activities, 1:1 support, therapeutic coaching, grocery and personal shopping, medication verifications, new admissions, and other program needs. The Scheduling Coordinator works closely with Anew's Clinical, Residential, Healthcare, Milieu, Admissions, and administrative teams to identify scheduling needs, troubleshoot conflicts, and communicate changes. Scheduling Coordinator Aug 2025 We're looking for someone who is highly organized, comfortable managing multiple priorities, communicates well, and enjoys figuring out how all the pieces of a schedule fit together. Benefits PTO and Sick Time accrual from date of hire Medical, Dental, and Vision benefits 401(k) Plan Responsibilities Coordinate client and program scheduling needs across departments, including healthcare and other client appointments, transportation, recovery meetings, assessments, outings, and program activities. Coordinate with the Clinical Residential and Milieu teams regarding grocery shopping, personal/TrueLink shopping, cooking support, chore and housing support, skill support, therapeutic coaching, and other scheduled client needs. Manage and adjust Client Support Staff schedules in collaboration with department leadership, including staff coverage, schedule changes, vacation requests, and sick days. Create, distribute, and maintain weekly and weekend Master Schedules and communicate updates or changes promptly. Track daily scheduling changes and help identify and resolve scheduling conflicts as they arise. Coordinate with the Clinical Team regarding recovery meetings, client skill support, therapeutic coaching hours, and other scheduling needs. Communicate with departments regarding appointment needs, scheduling conflicts, staffing needs, and changes that may impact client programming. Attend weekly staff meetings and communicate relevant scheduling updates or conflicts. Complete administrative audits and assist with auditing tasks to support accuracy, compliance, and documentation integrity. Follow up on records requests in support of Admissions to help ensure timely and accurate collection of documentation. Provide additional administrative or program support as needed. Those responsibilities stay very close to the formal JD, which expressly includes maintaining the Master Schedule, adjusting CSS schedules, responding to scheduling communications, assisting Admissions with records requests, audits, and staff-meeting communication. Scheduling Coordinator Aug 2025 Minimum Qualifications High School Diploma or GED required. Bachelor's degree in social sciences, psychology, or a related field, or one year of related experience, preferred. Previous milieu support and administrative experience preferred. Strong organizational, scheduling, and tracking skills. Strong computer skills and ability to learn and work within multiple systems. Knowledge of record-keeping, documentation, and filing. Ability to manage multiple priorities in a fast-paced environment. Ability to work independently while collaborating effectively across departments. Ability to follow established program policies, procedures, and Chain of Command. Valid driver's license, clean driving record, and auto insurance required.
