Full Job Description Description:
Under the direction of the Client Experience Manager, the Client Experience Coordinator (CEC) leads pre-event planning efforts and successful event execution while maintaining client satisfaction throughout their guests' stay at CVEATC. The CEC serves as the primary point of communication between clients and CVEATC, ensuring seamless transitions after the Sales Department handoff. In this role, the CEC collaborates with Center departments (Operations, Venues, Maintenance) and service providers (Food & Beverage, Housekeeping) to allocate resources and meet client needs effectively. By anticipating and responding to evolving requirements, the CEC plays a pivotal role in maintaining client satisfaction, fostering positive experiences, and encouraging future partnerships with CVEATC.
Requirements:
Essential Duties and Responsibilities Works closely with National Governing Body (NGB) administrators, collegiate and youth development teams, coaches, event managers, etc. to collect schedules, rosters and program details, compiles an operations plan to execute upon the client's needs and deliver on the client requests. Coordinate with center service providers and contractors such as facilities management, dining services, housekeeping, transportation, sports medicine, etc. Coordination may be done via venue management software, email correspondence, site visits, telephone and planning meetings. Develops room assignments that are consistent with on-site housing requirements. Manage large scale training events implementing best practices in supervising staff and contractors, crowd management and facility management. Gives direction to venue operations for conference room set up, field use, and other requests. Represents CVEATC with onsite teams, making decisions based on request availability. Maintains accurate computer records and master effective use of venue management software to reflect the most current program information. Enforces venue policies about proper facility usage, contractual obligation, code of conduct, safe sport compliance and risk management practices. Participates in the evaluation of program effectiveness and reports any program-related problems or needs that can be used for future reference. Provides a brief orientation for both short-term and outside user programs, pre-training camp briefings and post training events debriefs as needed. May be asked to assist with multidisciplinary projects and operational support. Must be able to work a flexible schedule to include days, nights, weekends, special events. and holidays, as needed. Responsible for performing all tasks in a safe and efficient manner complying with all local, state and federal safety and health regulations, and special safety concerns.
