Job Description
The Client Experience Coordinator serves as a primary point of contact for Beyond Wellness clients, helping create a seamless, elevated experience from their initial visit through ongoing follow-up and continued care. This role combines client hospitality, relationship-building, administrative support, and proactive outreach to ensure clients feel supported, informed, and cared for throughout their experience. The Client Experience Coordinator welcomes and checks in clients, assists with scheduling and service questions, follows up after appointments, helps clients navigate recommended next steps as directed by the medical team, and proactively reconnects with clients who may be due for follow-up services or consultations. The role also supports membership retention and prospective client follow-up by educating clients on relevant services, packages, and memberships based on their goals and previous visits. In addition to client communication and outreach, this position supports day-to-day clinic operations, including client flow, preparing clients for hyperbaric oxygen therapy and Ammortal Chamber sessions according to established protocols, maintaining organized client-facing spaces, and coordinating closely with the medical and operations teams. This is more than a traditional front desk role. The ideal candidate is warm, polished, highly organized, proactive, and comfortable balancing hospitality, administrative responsibilities, client outreach, and relationship-based sales in a fast-paced wellness environment.
