Full Job Description Summary:
Customer Service Coordinator "CSC" is an on-site role, serving as acritical link promoting harmony between Customers and AgriFrost; a multifaceted and cross-functional role reporting to the Vice President of Sales. CSC duties are imperative to customer and company success and require timely processing of orders and releases, routine identification, creation and maintenance of cross-functional teams to support customer acquisition, retention and growth-including timely, persistent and proactive interaction with Customers, Sales, Operations, Cold Storage Facilities and Logistics, Accounting & Finance, Quality Control(internal and external), Management and other departmental support as needed to drive company success. Essential Duties and Responsibilities include the following: Procure and provide all customer-specific data requirements, on per-customer basis. Manage Order Processing, Sales Order Releases, and procurement/distribution of COA's, ensuring redundancy plans and backup personnel are thoroughly trained and in place in times of absence. Duty to pro-actively notify direct supervisor of all absences, vacations, sick days and out of office events with details of time-sensitive tasks that must be completed while out. Ensure all customer needs are being met at all times. Cross-reference all PO's to ensure pricing accuracy, inclusive of all Storage & Interest charges; communicate all pricing discrepancies to Customers, Sales and Accounting personnel. Timely and accurate responses to all Customer and Sales Department inquiries and support initiatives. Communicate delays as needed with routine follow-up, both internally (all departments) and externally Duty to ensure all oral and written communications to customers promote harmony. Participate in creation and management of weekly production pack plan ensuring top fill rate for customers Coordinate Logistics to support production pack plan, including material supply and sales side logistics. Verify daily production repacks for accuracy Monitor finished goods inventory at 3rd party cold storages; communicate up and out, all inventory related inquiries from Customers, Sales Department, Operations and other departments as needed. Coordinate micros / lab testing and COA management& delivery Cross-reference COA's against customer spec (or AgriFrost spec on which customers deal is made) to ensure compliance prior to release. Coordinate product samples to customers and new prospects, alike. Create sales order releases. Assist with inventory management, cost accounting and month-end close. Food Safety Audit Supportas needed. Assistwith daily grower entries as needed. Customer billing backup as needed. Coordinate Annual Customer Documentation needsin proactive fashion. Identify and report areas for improvementand/or requests for resourcesdirectly to VP of Sales. Otherduties as assigned. Supervisory Responsibilities This position will not Supervise over others but will work closely with Accounting, Production Supervisors, Shipping and receiving, Inventory, Outside warehouse, Quality assurance and plant operations.
