Key responsibilities include communicating with clients by phone and email, certifying timesheets, completing administrative tasks aligned with sales and operations goals, maintaining consistent communication with sales, operations, and central administration, ensuring proper invoicing procedures, and providing support to assigned branch(es).
EDUCATIONAL REQUIREMENTS
Associates Degree in Business Administration or related field preferred
EXPERIENCE REQUIREMENTS
Two (2) + years of administrative, customer service, and service‑coordination experience; accounts receivable experience preferred Working knowledge of invoice processing and customer service best practices Proficiency in Microsoft Office; CRM (Salesforce) experience preferred Professional and polished personal presentation Bilingual in Spanish preferred Strong time‑management skills with the ability to adapt to changing priorities and meet deadlines Effective verbal and written communication skills Ability to collaborate and communicate across all levels of the organization Flexibility to adjust schedule based on business needs - some work required after 5PM
ACCOUNTABILITIES AND RESPONSIBILITIES
Provide daily support to Operations, Sales, and Clients by preparing work orders within Salesforce, supporting scheduling with Operations Manager, and reconciling previous day(s) completed work Maintain effective and professional communication with Clients, Operations, and Central Administration Support the development of standardized quote templates for all services Assist with take‑off documents and color‑coding floor plans to build maintenance plans for Clients; conduct follow‑up outreach, distribute after‑care documentation, and schedule follow‑up Client meetings for Account Manager/Account Executive Create and maintain email distribution lists for campaign blasts and special project communications Field incoming service requests, provide follow‑up communication, and update stakeholders on service status Coordinate with Sales regarding scheduling needs, Client feedback, and required support Administer documentation flow within the branch and between the branch and Central Administration (e.g., check requests, supply orders) Review, process, and distribute forms required for service implementation, including work orders and account change forms Respond promptly to requisitions from company management Assist in establishing, reviewing, and maintaining the monthly work schedule Dispatch day‑crew personnel and monitor general performance Prepare work orders for Daily Roster jobs Maintain Client files in an organized, accurate, and up‑to‑date manner Review, input, and file Contract SCFs, purchase orders, work orders, and related documentation Submit and update Client schedule notification letters Process paperwork for receiving requisitioned parts, supplies, equipment, chemicals, and specialty items; order office supplies and coordinate weekly stocking with shop technicians Support Account Manager(s) and Operations Manager daily dilemmas that occur regarding Client satisfaction Maintain a consistent flow of communication with Client base (i.e., fielding incoming requests, notification of the status on services being performed.) Monitors accounts through CRM to ensure accuracy Processes all invoices, credits, debits and/or adjustments made to Accounts Receivable Performs collection efforts to collect past due monies, make calls to Clients' Accounts Payable department or Client contact regarding past dues, invoicing, credit, debits and adjustments to monthly revenues for the branch Supports sales and operational plans by implementing effective training; analyzing trends and results to make necessary adjustments to ensure objectives are met Communicate issues, concerns and questions to Branch Director and Vice President
