Client Experience & Wellness Coordinator Integrated Wellness Group | Woodbridge, CT | Full-time, In-person $23 per hour, based on experience | Approximately 40 hours per week About the Role Integrated Wellness Group is seeking a warm, organized Client Experience & Wellness Coordinator to support the front desk and day-to-day client experience in our mental health practice. The role combines client communication, intake and scheduling support, front-office responsibilities, and light administrative support to the Executive Director and Clinical Director. This is an in-person, nonclinical position. Responsibilities Greet clients and visitors and help maintain a welcoming, professional front office. Answer calls, voicemail, email, and online inquiries and provide timely follow-up. Coordinate new-client intake, scheduling, rescheduling, reminders, and missing paperwork. Maintain accurate schedules and client information in TherapyNotes. Monitor cancellations and openings and assist with keeping provider schedules organized. Answer routine questions about scheduling, office procedures, and insurance participation. Provide routine administrative support to the Executive Director and Clinical Director, including calendars, meetings, documents, spreadsheets, and follow-up tasks. Maintain confidentiality and follow HIPAA and IWG privacy procedures. Escalate clinical or urgent concerns to the appropriate clinical staff. Qualifications Bachelor's degree in psychology, social work, behavioral health, human services, child development, public health, or a related field. Strong communication, organization, and follow-through. Comfort working with individuals and families seeking mental health support. Proficiency with email, calendars, Microsoft Word, Excel, and web-based systems. Ability to work independently while taking direction from both the Executive Director and Clinical Director. Preferred Experience in mental health, healthcare, human services, education, or a related setting. Experience with scheduling, intake coordination, front-desk work, or TherapyNotes/EHR systems. Schedule Approximately 40 hours per week, primarily Monday through Friday. Some Saturday availability may be needed as IWG expands client access.
