From custom patios and pergolas to complete backyard transformations, our mission is to help homeowners turn their outdoor areas into luxurious extensions of their homes. The Customer Success Coordinator supports the company's operational activities by coordinating payments, customer communications, permits, collections, and administrative tasks accurately and on time. This position monitors all phases of the project lifecycle to ensure everything moves smoothly, deadlines are met, payments are properly collected, and potential delays or issues are proactively addressed. The Customer Success Coordinator works closely with Project Managers, Sales, contractors, customers, and the Operations Team to keep projects organized, on track, and running efficiently from start to completion. Key Responsibilities1. Payment & Collections Management Monitor project progress and stay informed of each project phase to determine when customer payments are due. Follow up with Project Manager to confirm when a project has reached the stage at which a payment can be collected. Request authorization from the Project Manager before initiating any customer payment. Notify customers by email when an authorized payment is scheduled to be processed, providing the appropriate notice. Initiate customer payment transactions once authorized. Monitor transactions and ensure payments are successfully completed. Follow up on pending or unsuccessful payments and coordinate the necessary actions to resolve them. Stay on top of outstanding customer payments and maintain accurate payment records. Track and maintain accurate records of contractors' working hours. Process contractor payments based on approved hours and company procedures. 2. Permit Management Manage permit-related activities for company projects from application through approval. Prepare and submit permit applications and required documentation. Follow up with the appropriate authorities and agencies regarding permit status. Monitor pending permits and proactively follow up to prevent project delays. Ensure permits are obtained in a timely manner. Notify the appropriate internal team immediately once permits are approved so the project can move forward to the next phase. 4. Customer Service & Communication Receive and respond to incoming customer calls in a professional and timely manner. Address customer questions, requests, and concerns or direct them to the appropriate team member when necessary. Maintain professional and positive relationships with customers. Schedule appointments for members of the Sales Team. Ensure appointments and relevant customer information are properly communicated to the appropriate team members. Follow up on customer requests and ensure they are addressed in a timely manner. 5. Administrative & Operational Follow-Up Maintain consistent follow-up on pending administrative and operational tasks. Proactively identify upcoming deadlines, payments, permits, appointments, and other actions requiring attention. Communicate promptly with Project Manager and other team members regarding items that may impact project timelines or operations. Ensure assigned administrative processes are completed accurately, efficiently, and on time. Support the team with additional administrative and operational tasks as needed.
