This vital role ensures seamless communication between clients, field teams, and suppliers, driving efficiency and customer satisfaction. Duties Coordinate and schedule HVAC service appointments, ensuring timely dispatch of technicians based on priority and geographic location. Utilize vehicle dispatch software and transportation management systems to optimize routing and resource allocation. Communicate effectively with technicians via multi-line phone systems, providing clear instructions and updates throughout service calls. Manage inbound and outbound calls related to service requests, customer inquiries, and emergency dispatches with professionalism and courtesy. Maintain accurate data entry of service logs, work orders, and customer information using Microsoft Office tools and Oracle Transportation Management. Monitor GPS and GIS systems to track vehicle locations, ensuring efficient route planning and adherence to DOT regulations. Collaborate with supply chain teams to coordinate parts delivery, shipping & receiving, and inventory management for HVAC parts and equipment. Analyze transportation data to improve logistics operations, reduce delays, and enhance overall fleet management efficiency. Skills Strong proficiency in transportation planning, logistics, and road transportation operations. Experience with vehicle dispatch software, transportation management systems (TMS), and fleet management tools. Excellent communication skills for phone call management, internal communication, and customer service interactions. Knowledge of DOT regulations governing vehicle operations and freight handling. Skilled in data entry, analysis, organization, typing accuracy, and multi-tasking across multi-line phone systems. Familiarity with

GIS, GPS

technology, supply chain processes, shipping & receiving procedures, and 3PL (third-party logistics) providers. Ability to handle freight coordination efficiently while maintaining high standards of phone etiquette.
