About the Opportunity We are seeking a highly organized, service-focused professional to join our growing team as an Office & Client Experience Coordinator . This role is responsible for ensuring the smooth day-to-day operation of a busy residential real estate closing office while delivering an exceptional experience for clients, real estate professionals, lenders, and business partners. The Office & Client Experience Coordinator serves as a key administrative and relationship-building resource, helping create a professional, welcoming, and highly organized environment. Working closely with the attorney and office team, this individual will support office operations, client communications, community engagement, and closing logistics. This position is ideal for someone who enjoys building relationships, providing outstanding customer service, managing multiple priorities, and contributing to a collaborative, fast-paced environment. Key ResponsibilitiesRelationship Management & Community Engagement Develop and maintain positive professional relationships with real estate agents, brokers, lenders, and other industry partners. Support business development efforts through outreach, follow-up communications, and relationship-building activities. Represent the firm at networking events, industry meetings, community functions, and other professional gatherings as appropriate. Assist with marketing initiatives and social media content highlighting closings, achievements, community involvement, and office activities. Foster goodwill and strengthen the firm's presence within the local real estate community. Client Experience & Front Office Operations Serve as the first point of contact for clients, visitors, agents, and business partners. Greet guests professionally and create a welcoming, service-oriented office environment. Answer incoming calls and direct inquiries appropriately. Coordinate client communications and assist in ensuring a seamless closing experience. Maintain a clean, organized, and client-ready reception and meeting area. Support efforts to consistently deliver a high-quality, concierge-level customer experience. Office Administration & Closing Support Coordinate daily office operations and administrative activities to ensure efficiency and organization. Partner with attorneys and paralegals to support closing preparation and scheduling. Assist with assembling closing packages, organizing documents, and managing administrative workflows. Coordinate signatures, document delivery, and other closing-related logistics as needed. Help ensure files are properly organized and prepared for upcoming closings. Provide administrative support during high-volume periods and assist with special projects. Monitor and maintain office supply inventory and coordinate purchasing as necessary. Professional Growth & Process Support Develop a working knowledge of residential real estate closing processes and procedures. Expand responsibilities over time to assist with pre-closing coordination and file preparation. Identify opportunities to improve organization, communication, and operational efficiency. Contribute to a collaborative team environment focused on service, accuracy, and continuous improvement. Qualifications High school diploma or equivalent required; Associate's or Bachelor's degree preferred. Experience in a customer-facing, administrative, coordination, hospitality, or professional services role. Strong verbal and written communication skills. Excellent organizational skills with the ability to manage multiple priorities effectively. Demonstrated ability to build and maintain professional relationships. Proficiency in Microsoft Office Suite, including Outlook, Word, and Excel. Ability to learn new systems, processes, and responsibilities. Strong attention to detail and commitment to follow-through. Ability to maintain confidentiality and handle sensitive information with professionalism. Experience in residential real estate, title services, mortgage lending, legal services, banking, or related industries is preferred. Residential real estate experience is a strong plus.
