This position works closely with leadership, HR, client care,scheduling, DSPs/caregivers, families, case managers, and administrative staff. Responsibilities Oversee daily agency operations and ensure assigned departments are completing required responsibilities and follow-up. Monitor client service delivery, staffing coverage, scheduling concerns, call-offs, and continuity of care. Coordinate with HR and scheduling regarding recruitment, onboarding, orientation, training, staff placement, and performance concerns. Support client intake and transition processes, including review of referrals, service plans/PCISPs, authorizations, risks, staffing needs, and start-of-care readiness. Maintain strong communication with individuals, families, guardians, case managers, managed care organizations, and community partners. Monitor completion and quality of service documentation, progress notes, incident reporting, EVV requirements when applicable, and other required records. Work with billing and administrative staff to identify authorization, scheduling, documentation, and billing issues before they affect claims or services. Track deadlines, assignments, open issues, and follow-ups. Escalate urgent compliance, health, safety, staffing, or service concerns to leadership. Assist with internal audits, corrective actions, quality improvement activities, client satisfaction, and preparation for regulatory or accreditation reviews. Help implement agency policies, workflows, checklists, and standard operating procedures across departments. Lead or participate in team meetings and ensure action items have an assigned owner, deadline, and documented follow-up. Promote person-centered services, dignity, choice, independence, community participation, and respect for each individual's goals and preferences. Support agency growth by improving operational capacity, referral responsiveness, customer service, staff retention, and relationships with community partners. Maintain confidentiality and protect individual and employee information in accordance with agency policy and applicable privacy requirements. Leadership and Performance Expectations Demonstrate ownership, professionalism, sound judgment, and solution-focused leadership.Use due diligence:
verify information, review supporting documentation, and avoid making decisions based on assumptions. Prioritize effectively and manage multiple deadlines without sacrificing accuracy. Maintain timely communication and ensure important tasks are followed through to completion. Coach team members, identify workflow gaps, and recommend practical improvements. Preferred Qualifications Previous operations, healthcare, home care, HCBS, developmental disability, long-term services and supports, or related management experience preferred. Strong knowledge of scheduling, staffing, documentation, compliance, customer service, and team supervision. Experience working with Medicaid waiver programs, case managers, authorizations, EVV, or provider compliance is strongly preferred. Strong written and verbal communication skills. Strong organization, time management, problem-solving, and follow-through. Ability to use electronic systems, spreadsheets, email, scheduling platforms, and other business technology.
