As a family-owned business, we rank among the largest privately owned liquid tank rental companies in the country, operating from locations across the U.S. and serving the chemical, manufacturing, oil, construction, municipal, environmental, and other industrial sectors. This position is based at our Overland Park, Kansas headquarters, where a small corporate team supports the business nationwide. --- Why This Role? We are growing, and this is a newly created position — the responsibilities below exist today and are currently spread across several people. We are hiring someone to own them. You will learn a lot, quickly. On a small team, you see the whole business rather than one narrow slice of it. In this role you will touch credit, contracts, fleet operations, transportation, and billing — often in the same week. You will work directly with leadership and ownership. There is no layer of management between you and the people making decisions. Your questions get answered by the person who knows the answer, and good ideas do not have far to travel. Variety is part of the job. Alongside the core responsibilities, you should expect to be pulled into projects and problems that do not fit neatly in a job description. We are looking for someone who finds that interesting rather than frustrating. There is real room to grow. As the organization expands, so does the scope available to people who have earned it — both within leasing and across the broader business. --- About the Role The Leasing Account Coordinator keeps our leasing business moving. This is the person who makes sure a new customer gets onboarded cleanly, a signed lease turns into units delivered on time, an expiring lease gets renewed before it lapses, and a returned unit gets confirmed off-rent so billing is right the first time. It is a coordination and execution role, not a sales role. You will report to the Operations Manager and work closely with the Director of Leasing, along with asset management, the shop and 3PL partners, and finance — and you will talk to customers directly every week. Much of the work is detail-driven and repeatable; the value comes from doing it accurately, on time, and without needing to be chased. We have deliberately scoped this position so a strong, organized person can learn the lease lifecycle end to end. The role is designed to grow into a Leasing Account Manager position, taking on broader responsibility for managing lease fulfillment from start to finish. --- What You'll Do Customer Onboarding Own the new customer packet from first request through completion — issue it, explain what is needed, and follow up until every document is in hand. Support the credit application process by collecting the application and supporting financials, routing them for review, and tracking the file through to a credit decision. Coordinate Master Lease Agreement (MLA) and addendum signature , working with the customer, internal approvers, and legal counsel to get documents executed and filed. Maintain customer document compliance — W-9, certificates of insurance, autopay authorization, and any customer-specific requirements — including tracking expiration dates and chasing renewals before they lapse. Report onboarding status weekly to your manager and the
Director of Leasing:
who is in flight, what each account is waiting on, and where things are stuck. New Lease Coordination & Execution Create and maintain lease opportunities in our systems, keeping records complete and current from first inquiry through execution. Participate in the weekly opportunity review with the Director of Leasing, arriving prepared and using the meeting to keep pipeline data accurate, clean, and trustworthy. Draft lease agreements and addenda using approved templates and tooling, confirming unit numbers, terms, rates, and special provisions against what was agreed. Manage the execution process end to end — routing for signature, chasing outstanding signatures, and filing fully executed documents in the right place. Lease Renewals Proactively monitor expiring agreements so no lease reaches its expiration date unaddressed. Draft renewal proposals and prepare the supporting detail — units, current terms, proposed terms — for review. Work the renewal to completion alongside the Director of Leasing and other revenue team members, following up with customers until the renewal is signed or a decision is made. Keep the renewal pipeline current , including expiration dates, unit lists, and customer contacts. Lease Fulfillment & Return Coordination Coordinate fulfillment on signed agreements , working across unit preparation at the shop and 3PL transportation to meet the customer's required delivery dates. Keep the customer informed on delivery timing, and flag risks internally early rather than late. Process unit returns when units arrive at shop locations — use internal system tooling to confirm whether each unit is coming off lease. Contact customers directly when system information is unclear or contradictory, and resolve the question rather than passing it along. Communicate confirmed off-rent status to finance promptly so billing reflects reality and we neither over-bill a customer nor lose revenue on a unit still in service. Customer Playbooks & Documentation Maintain customer-specific playbooks — billing instructions, required documentation, preferred contacts, site requirements, and the small nuances that make an account run smoothly. Keep them current and usable so any team member can pick up an account and know how that customer expects to be handled. Document recurring processes as you learn them, improving the playbooks and checklists this role depends on. General Come to recurring reviews prepared , with a current and accurate picture of your open items, what is at risk, and what you need from others. Maintain accurate inputs to internal activity and reporting tools. Manage your own time and priorities across a workload that mixes scheduled routines with time-sensitive requests. --- What We're Looking For Required 1-3 years in a coordination, account support, contract administration, or customer operations role. Demonstrated follow-through — you own an open item until it is closed, without being reminded. Strong written and verbal communication; you are comfortable calling a customer to resolve an unclear situation. Comfort working with contract documents and attention to the details that matter in them. Proficiency with spreadsheets and the ability to learn new business systems quickly. Discretion and good judgment handling confidential customer, credit, and financial information. Highly organized, and able to keep many parallel items moving without dropping any of them. Preferred Experience in equipment leasing or rental, transportation, logistics, or industrial services. Familiarity with lease or contract lifecycle documentation (MLAs, addenda, schedules). Exposure to CRM, ERP, or fleet/maintenance management systems. Understanding of tank trailers, DOT-regulated equipment, or similar specialized assets. Associate's or Bachelor's degree, or equivalent practical experience. --- Growth Path This role is the entry point into our leasing organization, and it is built to lead somewhere. We would rather promote someone who already knows our customers and our fleet than hire around them. A Coordinator who consistently executes the responsibilities above, develops real fluency with our customers and fleet, and begins exercising sound independent judgment is on track to be promoted to Leasing Account Manager. At that level, the work broadens rather than changing direction: managing the full lease lifecycle from execution through fulfillment and return with less day-to-day direction, handling the exceptions and judgment calls that currently escalate, and serving as a primary point of contact for assigned customers. --- Working Conditions This is a fully in-office position at our Overland Park, Kansas headquarters; remote and hybrid arrangements are not available for this role. Infrequent travel to shop locations, estimated at no more than 5% of time.
