Job Description

Overview Own the front end of the customer experience. You're the first line for inbound retail communication, keeping customers informed about estimates and installs, and keeping the calendar and job files clean so estimators and crews can run on time with minimal surprises. Your work directly impacts how many estimates we book, how many customers stay happy, and how smoothly the field runs. Fast, accurate communication here is one of the biggest levers on revenue and show-up rate. Key outcomes 90%+ of calls answered live during business hours All voicemails, emails, and web inquiries returned same business day Estimator calendar always current and accurate Customer info (contact, job status, notes) up to date in CRM, Google Calendar, CompanyCam Customers know what's happening next (estimate, install, delays) Issues documented and escalated cleanly, reducing repeat calls and complaints Core responsibilities 1. Phones, email, and first contact Answer all incoming calls in a professional, friendly manner; route or handle as appropriate. Monitor and respond to general inboxes (info@, office@, website forms) with clear, grammatically correct emails and appropriate tone. Take complete messages (name, number, address, reason, urgency). Greet walk‑in visitors, delivery drivers, and vendors and direct them appropriately. 2. Customer support & information Look up customer and job details in CRM / CompanyCam / shared drives to answer questions on status, scope, dates, and payments. Verify and update customer contact info on every interaction. Handle upset or anxious customers calmly; listen, clarify, resolve when possible, or escalate with clear notes. Document all significant customer issues/complaints for management review. 3. Estimate scheduling & calendar management Schedule estimate appointments (not installs) using estimator's calendar and routing logic, minimizing drive time and gaps. Enter appointments in the correct format and confirm next‑day estimates (call/text). Log and communicate cancellations, no‑shows, and reschedules immediately to estimator and scheduler. 4. Pre‑install communication & field coordination Notify homeowners/contractors of upcoming installs and any schedule changes or weather/production delays using approved scripts. Verify that calendar entries and internal notes match what the customer was told. Check in with install crews daily on job completions/partials and update job status in Google Sheets / CRM / CompanyCam. Inform customers/contractors of completions or reschedules as needed. 5. Systems, admin & office support Correctly use Google Sheets, Google Calendar, CompanyCam, and internal intake forms for all new leads and changes. Maintain and work a shared task list; own your tasks and collaborate on shared ones. Keep digital records organized (photos, notes, forms attached to correct job files). Maintain a tidy, professional front desk and lobby; manage voicemail greetings and retrieval; assist with light paperwork (scanning, printing, filing). (Bonus) Review and tag job photos for marketing/training use. Requirements 1-3+ years in customer service, scheduling, or office coordination (home services preferred but not required). Confident on the phone; clear written communication. Able to handle occasional upset or anxious customers without taking it personally - stays calm, professional, and focused on fixing the issue. Comfortable using multiple software tools simultaneously (Google Workspace, basic CRM, photo apps). Calm under pressure, able to juggle multiple calls/tasks without dropping details. Reliable, punctual, and detail‑oriented.
