The Representative Payee Specialist supports Access Health's Representative Payee Program by helping manage clients' benefits and pay expenses in accordance with their needs, program procedures, and Social Security Administration (SSA) requirements. This position maintains accurate and confidential financial records, processes income and payments, helps develop and monitor client budgets, communicates with clients and service providers, and prepares documentation for reporting, reviews, and audits. Success in this role requires careful attention to detail, sound judgment, compassion, discretion, and the ability to manage time-sensitive work for individuals who rely on the program to safeguard their funds. The position also provides administrative support to the organization as assigned.
Duties:
Client Financial Management Receive and record client income, including Social Security benefits and other funds, in the program's financial system. Maintain client budgets and spending plans based on each client's income, essential expenses, and individual needs. Review bills and requests for funds; verify available balances and process approved payments and disbursements in accordance with program procedures. Track client income, expenses, account balances, outstanding bills, and payment activity. Follow up on missing bills, payment questions, returned payments, and other routine account issues. Help identify changes in a client's financial circumstances and bring concerns or requests requiring a decision to the appropriate staff member. Records, Reporting, and Compliance Maintain complete, accurate, and confidential client files, financial records, receipts, and supporting documentation. Enter and verify transactions and client information in program systems promptly and accurately. Assist with account reconciliation by researching discrepancies betw Prepare client account summaries, correspondence, and documentation for SSA reporting, reviews, audits, and other compliance activities. Help track reporting deadlines and document required follow-up. Follow established internal controls, confidentiality requirements, and procedures for safeguarding client funds and information. Assist in SSA audit and annual financial audit. Client and Stakeholder Communication Respond professionally and compassionately to routine questions from clients, families, care providers, vendors, and other stakeholders about budgets, payments, and account activity. Coordinate with clients and relevant providers to obtain bills, verify expenses, and address routine payment needs. Document significant communications and refer complex, urgent, or sensitive matters to appropriate staff. Other Administrative Support Maintain organized electronic and paper records and assist with correspondence, data entry, and other administrative tasks related to program operations. Provide general administrative support and assist with other duties or special projects as assigned.

Required Education and Experience:
Minimum of 2 years of experience in administrative support, health administration, or a related field. Strong attention to detail and accuracy in data entry, recordkeeping, and documentation. Proficiency in Microsoft Office Suite and experience using databases, financial systems, or other data management systems. Strong organizational and time management skills with the ability to manage multiple priorities. Strong written and verbal communication and customer service skills. Ability to maintain confidentiality and appropriately handle sensitive financial, client, and organizational information.
Preferred Education, Experience, and Skills:
Associate's degree in Business Administration, Social Work, Health Administration, or a related field preferred. Experience with or knowledge of Social Security Administration (SSA) Representative Payee programs or requirements preferred.
