Program Supervisor | Designated Coordinator
ARSYS, LLC
is seeking a Program Supervisor | Designated Coordinator to oversee the daily operation of an assigned residential program. This is a leadership role, but it is also a hands-on role. The right person must be comfortable supervising staff, supporting clients directly, managing schedules, keeping documentation organized, and helping ensure services meet Minnesota

expectations. This position reports directly to the Program Director. About the Role The Program Supervisor | Designated Coordinator helps make sure the home runs safely, consistently, and professionally. This includes supporting clients, leading Direct Support Professionals, coordinating staff schedules, monitoring documentation, helping staff follow client plans, and communicating concerns or program needs to the Program Director. This role also helps coordinate services for the individuals living in the home. That means making sure staff understand each person's support plan, support plan addendum, individual abuse prevention plan, goals, routines, risks, and support needs. The Program Supervisor | Designated Coordinator helps monitor whether services are being completed correctly, whether client outcomes are being supported, and whether staff need additional training or follow-up. This position is a good fit for someone who is dependable, organized, calm under pressure, and willing to step in when needed. Some days will be focused on documentation and coordination. Other days may require helping cover shifts, solving staffing issues, responding to incidents, or supporting staff through difficult situations. Key Responsibilities Provide direct care and support to clients as needed. Supervise, train, coach, and evaluate Direct Support Professionals. Create and maintain staff schedules. Help fill open shifts and maintain safe staffing. Manage staff availability, time-off requests, and schedule changes. Review staff timecards, mileage, and expenses. Monitor staff training and help ensure required training is completed. Train staff to follow client-specific plans and document services correctly. Support client goals, outcomes, programming, and service plan implementation. Monitor whether staff are completing supports as written in client plans. Observe staff performance and identify training or competency concerns. Monitor documentation and help keep client files current. Communicate client changes, risks, staffing concerns, and program needs to the Program Director. Communicate professionally with clients, families, legal representatives, case managers, staff, and leadership. Complete or assist with incident reports, medication error reports, progress notes, reports, and other required documentation. Help ensure services are provided in a way that protects client rights, dignity, privacy, health, and safety. Support compliance with company policy and applicable Minnesota

requirements. Participate in weekend on-call rotation as assigned. Attend required meetings and trainings. Complete other duties as assigned. What This Job Really Requires This position can be rewarding, but it is not always easy. The Program Supervisor | Designated Coordinator must be able to balance client care, staff support, schedules, documentation, and program needs.
Applicants should be comfortable with:
Being responsible for the day-to-day needs of a residential program. Leading staff while also helping with direct care when needed. Handling call-ins, schedule changes, and staffing concerns. Following up with staff when expectations are not being met. Completing documentation accurately and on time. Helping staff understand and follow client-specific plans. Responding professionally during stressful situations. Asking for help when needed and communicating concerns early. Required Skills and Expectations Applicants must be able to: Communicate clearly and professionally. Stay organized with schedules, documentation, training records, and deadlines. Support and supervise Direct Support Professionals. Follow company policies and applicable 245D expectations. Protect client rights, dignity, privacy, health, and safety. Maintain professional boundaries and confidentiality. Respond to program needs with flexibility and professionalism. Complete required documentation accurately and on time. Work independently while also being part of a team. Help evaluate whether services, supports, and staff training are working effectively. Minimum Requirements Applicants must be able to: Pass and maintain a required background study. Complete required orientation and annual training. Complete client-specific training before providing unsupervised direct support. Follow support plans, program plans, and company procedures. Participate in direct care, meetings, trainings, scheduling responsibilities, and on-call duties as assigned. Meet applicable Minnesota 245D qualifications for Designated Coordinator responsibilities. Preferred Qualifications Preferred applicants will have experience with: Supporting individuals with disabilities or vulnerable adults. Residential, group home, waiver, or human services work. Supervising, training, coaching, or evaluating staff. Staff scheduling and shift coverage. Client programming, support plans, outcomes, or documentation. Timecards, payroll sheets, billing support, or staff/client files. Therap, electronic documentation systems, timekeeping systems, Google Drive, or similar tools. This role is a strong fit for someone who can work with both clients and staff, handle responsibility, and keep things moving even when the day does not go exactly as planned. Experience is helpful, but attitude, follow-through, communication, and reliability matter too.

Do you have experience supporting individuals with disabilities, vulnerable adults, or people with significant support needs? Do you have experience supervising, training, coaching, or leading staff? Are you comfortable completing documentation, reviewing records, and following written support plans/procedures? Are you comfortable addressing staff performance concerns professionally when expectations are not being met? Do you meet at least one of the following Minnesota 245D Designated Coordinator qualification paths? 1. Bachelor's degree in human services, education, health, or related field + 1 year full-time direct care experience 2. Associate degree in human services, education, health, or related field + 2 years full-time direct care experience 3. Diploma in human services, education, health, or related field + 3 years full-time direct care experience 4. 50 hours of education/training related to human services/disabilities + 4 years full-time direct care experience under qualified supervision
