Job Description
Job Summary:
The Customer Service Coordinator serves as the first point of contact for community members, visitors, and building tenants of the Heights location of Allies in Aging, a nonprofit social-services organization dedicated to supporting seniors across Yellowstone County. This role is responsible for ensuring a welcoming environment, delivering excellent customer service, supporting administrative operations, and providing limited program oversight for select client services.Essential Duties and Responsibilities:
Customer & Public Interaction- Serve as the initial point of contact for all visitors, seniors, and families, providing a warm, professional, and welcoming presence.
- Answer multi-line phones promptly, directing calls to appropriate staff and responding to general inquiries with accurate program information.
- Provide assistance to seniors, caregivers, and community partners with professionalism, empathy, and discretion. Facility & Office Operations
- Perform daily opening and closing functions for the building, ensuring the facility is secure, safe, and ready for operations.
- Coordinate incoming and outgoing mail, including sorting, logging/scanning, and distribution to staff and tenants.
- Maintain organized reception and lobby areas that reflect a clean, welcoming environment.
- Support general office tasks such as ordering supplies, preparing documents, and coordinating with vendors.
- Oversee first-line communication with building tenants and vendors, addressing facility needs, coordinating service requests, and ensuring smooth day-to-day building operations. Program Support Support Representative Payee Program
- Complete the scanning of daily Rep Payee Program mail and electronic file naming as outlined by the Rep Payee Program Manager.
- Monitor and provide oversight for the "unfacilitated clients" of the PEA Program, ensuring follow-up, documentation, and communication with program staff.
- Maintain confidential client records in accordance with HIPAA and organizational policies and procedures.

Nutrition Program :
- Perform data entry tasks using designated data entry software systems
- Support the Heights Meal Site Coordinator with the Senior Lunch Program as needed.
- Welcome and support Meals on Wheels volunteers as their first point of contact, helping them feel connected, valued, and prepared to serve our community. Administrative & Cross-Team Support
- Provide backup support for staff during absences or peak workload periods.
- Participate in staff meetings, trainings, and events to support teamwork and organizational culture.
Supervisory Responsibilities:
This position has no supervisory responsibilities. Minimum Qualifications (Experience/Education):- High School Diploma or equivalent required
- Relevant office or customer service experience preferred
- Excellent communication and interpersonal skills
- Strong working knowledge of Microsoft Office Suite and data entry software
- Interest in and desire to work with the seniors and vulnerable populations
- Ability to work with coworkers, clients and other contacts in a professional and positive manner
- Must pass background check
Working Conditions:
Must be able to remain in a stationary position for prolonged periods of time Primarily office-based with moderate noise level Ability to operate a computer and other office productivity machinery, such as a calculator, copy machine, and computer printer. Requires the ability to communicate information and ideas in a way others can understand. Must be able to exchange accurate information in person and over the phone. Occasional physical activity including lifting up to 50 lbs. and brief periods of standing, walking, or stooping.Pay:
$18.90 - $20.75 per hour Expected hours: 40.0 per weekBenefits:
