WHO WE ARE LOOKING FOR
We are seeking an operational, hands-on Customer Service Manager with a "can do" attitude to lead our customer-facing operations in a fast-paced manufacturing environment. In this role, you will manage a direct team of 3 Customer Service Representatives while taking an active role in account management, order fulfillment, and cross-departmental coordination. The ideal candidate is a natural problem solver with a keen eye for detail, strong supervisory skills, and a track record of building effective relationships with both internal teams and external customer accounts.
REQUIRED QUALIFICATIONS
Education:
Associates or Bachelor's Degree Leadership Experience :
3+ years of experience directly managing, coaching, or supervising a small team (3+ reports).
Industry Experience:
5+ years in an office environment, specifically in order processing, customer service, or sales operations (experience in manufacturing, logistics, or distribution is a plus).
Technical Skills:
A high degree of competency with the Microsoft 365, order entry systems (ERP/CRM), and shipment/logistics scheduling.
Core Competencies:
Excellent verbal and written communication skills, exceptional organizational abilities and the ability to collaborate cross-functionally.
WHAT THE ROLE INVOLVES
Team Leadership & Operations Directly supervise and coach a team of 3 Customer Service Representatives, managing their daily workflows, order coverage, and workload balance. Train team members on various process improvements related to order entry systems, customer service standards, and internal processing procedures. Create written SOPs (Standard Operating Procedures) and supporting documentation as needed. Serve as the primary person for complex customer inquiries, order exceptions, or urgent issues. Develop departmental OKRs create individual KPIs for team members Set up regular team meetings and 1:1's with team members to track OKR and KPI targets, respectfully. Account Management & Customer Care Work directly with customers via phone and email to receive and confirm purchase orders, provide current pricing and lead times, and update delivery schedules. Maintain regular contact with key accounts to build long-term relationships, understand their needs, and ensure ongoing customer satisfaction. Resolve customer complaints and order disputes with proactive, solution-oriented service. Cross Departmental & Logistics Coordination Collaborate interdepartmentally to manage the full order cycle from original purchase order through final invoicing. Partner with Purchasing to flag order volumes exceeding current inventory levels. Coordinate with Production to establish realistic completion dates and tack fulfillment timelines. Work alongside Technical/Quality teams to confirm product specifications, quality standards, and correct finished product labeling. Arrange freight logistics and communicate with Shipping/Receiving to ensure timely bookings, correct carrier documentation, and on-time delivery. Assist Accounting to verify accurate billing, invoice distribution, and resolution of any payment discrepancies. Maintain organized physical and digital records of customer files, pricing contracts, and processed orders.
