Luxury Salon Customer Service Coordinator

ABOUT THE ROLE
Rizzieri is seeking a friendly, organized, and guest-focused Customer Service Coordinator to serve as an important first point of contact for our salon and spa guests. In this role, you will create a welcoming arrival and departure experience, coordinate appointments, process transactions, answer guest questions, and help ensure the front desk operates smoothly and professionally. The successful candidate will learn and consistently apply our guest-service standards, brand voice, booking procedures, point-of-sale processes, and daily front-desk practices. As experience and proficiency develop, this position may take on additional responsibilities, including resolving routine guest concerns, supporting retail sales, managing waitlists and rebooking opportunities, and assisting with the training of new team members.WHAT YOU WILL DO
- Welcome guests warmly and professionally upon arrival and departure.
- Complete accurate guest check-in and check-out transactions using Phorest and related systems.
- Answer telephone calls and respond courteously to appointment inquiries received by phone, text, and online booking channels.
- Schedule appointments by matching guest needs with provider availability, service timing, and booking requirements.
- Use booking-system functions such as waitlists, rebooking, and appointment-book management to help reduce scheduling gaps, cancellations, and no-shows.
- Process payments, gift cards, and retail transactions accurately and in accordance with established procedures.
- Build rapport with returning guests and recognize guest preferences whenever possible.
- Respond to routine guest questions and concerns, including late arrivals and minor scheduling conflicts, while escalating matters requiring management involvement.
- Support retail sales by developing product knowledge and making appropriate, guest-centered recommendations.
- Maintain a clean, organized, and guest-ready front desk and call-center area.
- Restock retail displays and promptly communicate low inventory or merchandise needs to management.
- Learn, follow, and consistently apply established guest-experience standards and brand expectations.
- As proficiency develops, assist with training new team members on front-desk, point-of-sale, telephone, and guest-communication procedures.
- Perform other related duties as assigned.
REQUIRED QUALIFICATIONS
- High school diploma or equivalent.
- Customer-facing experience in reception, retail, hospitality, salon, spa, or a comparable service environment.
- Strong interest in providing a polished, welcoming, and positive guest experience.
- Basic computer proficiency and the ability to learn booking, point-of-sale, telephone, text, and online scheduling tools.
- Clear, courteous, and professional communication skills.
- Strong attention to detail when managing appointments, calls, guest requests, and transactions.
- Ability to work collaboratively, accept coaching, and contribute to a positive team environment.
- Availability to work some evenings and weekends.
PREFERRED QUALIFICATIONS
- At least one year of successful front-desk, reception, hospitality, retail, salon, spa, or similar guest-service experience.
- Experience using Phorest or a comparable scheduling and point-of-sale platform.
- Familiarity with appointment scheduling, waitlists, rebooking, or appointment-book management.
- Experience supporting the training or onboarding of new employees.
- Product knowledge or retail-sales experience.
PHYSICAL REQUIREMENTS AND WORK ENVIRONMENT
Work is performed in a typical salon and spa environment. The position regularly requires standing, walking, using hands to handle or feel objects, reaching with hands and arms, talking, hearing, and smelling. The position may occasionally require sitting. The employee may regularly lift or move items weighing up to 10 pounds, frequently lift or move items weighing up to 25 pounds, and occasionally lift or move items weighing up to 50 pounds. The position requires close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
