We're in search of a stellar office administrator to be the backbone of our operations, from order fulfillment to billing. Our shop is busy and energetic, and this seat runs on a dynamic daily rhythm and attention to detail. If you keep a checklist and a calendar, confirm everything, and know how much clear communication matters, you might be the person we're looking for. Prior shipping or logistics experience is important, although that is certainly not everything. Some college with 2+ years of office experience, or a high school diploma with 5+ years in a similar role is required. About us Spinning Designs makes custom prize wheels, Plinko boards, and interactive event games for trade shows, marketing agencies, casinos, and corporate events nationwide. We've built them in New Jersey for over 20 years, with a small but mighty team and steady growth every year. We ship 60-80 orders a week through our website and other e-commerce channels, most of them made for a specific event date, so getting them out accurately and on time is the core of the business. What you'll do You'll be trained hands-on in every system and procedure below, and guided through each process; no need to worry about arriving with all the knowledge already. Shipping Confirm shipping details with customers and prepare parcel, freight, and international shipments through our Shopify-integrated shipping app and carrier portals (UPS, FedEx, Estes, DHL, A. Duie Pyle). Prepare order paperwork and coordinate ship dates and pickups with the production team. Update and monitor tracking across all sales channels. Learn our product line so the right items ship with the right packaging and documents. Customer service Coordinate warranty and replacement-part shipments with customers, from order entry to delivery confirmation. Manage return logistics and keep track of incoming items for inventory management. Follow up after service is rendered and handle carrier claims for damaged or lost shipments. Receiving and purchasing Receive incoming materials against purchase orders in Odoo and resolve shortages or backorders with vendors. Place approved purchases with online suppliers when the system notifies you. Billing and office Enter vendor invoices and receipts in QuickBooks, schedule payments for approval, and review carrier invoices for errors. Answer and route incoming calls and keep shipping, receiving, and customer service records current. What we're looking for Prior shipping, logistics, or order fulfillment experience. You don't need to be an expert, but you should understand how parcel and freight shipping work. Some college and 2+ years of office experience, or a high school diploma and 5+ years in a similar role. Highly organized and detail-oriented, with reliable follow-through on open items.
