Job Description
Job Summary The Front Desk Coordinator key responsibilities include managing the client experience, handling administrative tasks, and ensuring efficient office operations. Duties Greet and welcome clients, visitors, and vendors in a warm, friendly, and professional manner, creating a positive first impression. Address client questions, concerns, and complaints with courtesy and discretion. Provide information to clients about practice's services, promotions, and products. Manage communication with clients, including confirming appointments and responding to inquiries via phone, email, or text. Managing a multi-line phone system, directing calls to the appropriate team members or taking messages as needed. Optimize the appointment schedule to maximize provider time and client satisfaction. Manage check-in and check-out process, which includes verifying information and processing payments. Maintain accurate client records and databases by inputting and updating client information, insurance details (when applicable) all while ensuring confidentiality and security according to regulations. Keep the reception and waiting areas clean, organized, and presentable. Collaborate with staff and departments to ensure smooth operations and a seamless client experience. Perform general clerical tasks, such as filing, data entry, and scanning. Skills Ability to provide excellent customer service Knowledge of HIPAA regulations to ensure client confidentiality Strong organizational skills with attention to detail A polished and professional appearance to represent the office Experience working in an office environment, preferably within a dental office or managed care setting Proficient with computers Practical experience with Electronic Medical Records (EMR) Ability to work independently as well as part of a team
