This is not a traditional assistant job. You won't walk into a perfectly organized machine with a giant training manual and years of existing systems already built out. This role is being created in real time. Some days will be structured. Some won't. Some processes already exist. Some need to be built from scratch. That's why this role requires someone who is proactive, resourceful, organized, and comfortable figuring things out without needing constant direction. What You'll Actually Be Doing Communicating with clients and helping with service needs Assisting with onboarding new clients Uploading, organizing, and maintaining client documents Managing calendars, scheduling, and email communication Helping create workflows and operational systems Developing SOPs and improving organization across the business Following up on tasks and making sure things don't fall through the cracks Helping create a smooth, thoughtful, high-quality client experience Over time, this role will likely expand significantly for the right person. What Success Looks LikeFirst 30 Days Learn the systems, clients, communication style, and workflows Begin helping with scheduling, organization, and client support Start bringing structure to email and calendar management First 60 Days Handle portions of onboarding independently Keep documents and workflows organized consistently Begin identifying inefficiencies and areas for improvement Start documenting systems and creating SOPs First 90 Days Take real ownership of calendar and email management Help create operational structure and repeatable workflows Reduce the administrative burden on leadership Free up time for higher-level strategic work Become a reliable operational partner inside the business The Right Person Probably… Is highly organized naturally Notices problems before other people do Communicates clearly and professionally Is warm with clients but also detail-oriented Learns technology quickly Doesn't get overwhelmed easily Takes ownership without needing to be chased Enjoys improving systems and making things run smoother Wants to grow with a business long term The Wrong Person Probably… Needs constant instruction or supervision Gets frustrated when things are evolving or unclear Waits to be told what to do Dislikes technology or learning new systems Struggles with follow-through Wants a highly repetitive, clock-in/clock-out style role Experience We care more about capability, organization, communication, and attitude than having the "perfect" resume.
