Every piece is made by hand with intention, artistry, and an obsessive attention to detail. About This Role The Customer Service & Office Coordinator is the first voice a designer hears when they call and the first name they see when they email. You will answer the phone, manage the studio inbox, prepare estimates, walk designers through custom options and colors, and move orders from inquiry to production to shipment. You are also the person who keeps the studio and office running: supplies ordered and received, paperwork filed, mail handled, systems current, and the space clean and organized so the production team can focus on making beautiful things. A word about where you will work: this is not a cubicle office. Your desk sits inside a working craft studio where ceramic lighting is slip cast, finished, wired, and packed a few steps away, and the designers you talk to all day sometimes walk through the door to see the pieces in person. The work around you is beautiful, the pace is real, and every order you touch ends up in someone's home. This is a hybrid role that sits at the center of a small studio. Roughly half of your week is client and designer service. The rest is studio operations, administrative support for the COO and Founder, and bookkeeping support. You will work with a lot of systems, and you will be expected to learn them well and improve how we use them. This role reports to the Chief Operating Officer. It is the first of what we intend to become a two-person client team; as the business grows, a designer relations role focused on outreach, events, and account development will join you. Schedule and Pay Full-time, hourly, 40 hours per week, Monday through Friday, 7:30 AM to 4:00
PM Compensation:
Starting at $23.00 /hr, depending on experience Compensation review upon successful completion of a 60-day introductory period On-site at our Warren, Rhode Island studio Immediate start; we hope to overlap with our current coordinator, who is retiring, for training What You Will Do Client and designer service (about half of your week) Answer the phone and manage the studio inbox with warmth, speed, and accuracy; triage email first thing every morning so payments, quotes, invoices, and vendor items are routed and nothing falls through the cracks Prepare estimates and quotes, coordinating with the studio on feasibility and lead times Walk designers through our product line, custom configurations, and custom glaze colors, and set clear expectations on timelines Process and review trade applications Enter and process customer orders accurately and keep every order record current from confirmation through shipment Keep active designers warm with thoughtful follow-up, and help identify interior designers and firms we should introduce ourselves to Order flow, purchasing, and receiving Order studio supplies and equipment; track what was ordered, what arrived, and what it cost Receive and check incoming orders against what we purchased so we only pay for what we actually received Maintain organized inventory of office and studio supplies Support shipping as a backup, including preparing shipments and coordinating pickups when the production team needs a hand Studio and office operations Open the studio each morning and keep the office and common areas clean and organized File paperwork, handle incoming and outgoing mail, and keep physical and digital records in order Complete data entry across our systems with a high standard of accuracy Keep the plants alive and the space welcoming for designers who visit Organize monthly team lunches and manage the birthday and anniversary calendars and celebrations; this is one of the ways we spark joy for each other Administrative support for leadership Provide administrative support to the
COO and Founder:
scheduling, correspondence, document preparation, and follow-up on open items Help organize studio tours and designer visits Take on data entry and special projects, such as pricing updates across our systems, product and SKU data cleanup, and new systems rollouts Bookkeeping support Process customer payments through Shopify and QuickBooks, including payments for non-Shopify orders Manage bills and bill pay through Melio, and reconcile credit card statements and receipts Track recurring auto-payments and confirm that each service is still in use and correctly billed Coordinate with our finance team, including our fractional CFO and external bookkeeping partner, and provide the information they need on time Systems You Will Use You do not need to know all of these on day one, but you need to be someone who learns systems quickly, keeps data clean, and is not afraid to ask how something works. Current systems include Google Workspace (Gmail, Sheets, Docs), Shopify, QuickBooks Online, Melio, Gusto, and our production and CRM tools. We are actively improving how we use technology, and your ideas are welcome, including tools we have not discovered yet. What We Are Looking For Experience 2 to 5 years in a customer-facing coordinator, office manager, front desk, or administrative role, ideally in interior design, a showroom, architecture, a design firm, hospitality, or another detail-driven trade environment Experience in a small business where you wore many hats and figured things out with limited resources Customer service experience, on the phone and in writing, where you were the person clients relied on Comfort with order processing, invoicing, and basic bookkeeping tasks; QuickBooks or Shopify experience is a plus Skills and abilities Extremely organized; you build systems for yourself and keep them current without being asked Tech savvy and genuinely interested in technology; you pick up new tools quickly and improve how they are used Better than average proficiency with Google Sheets and Docs and Microsoft Office, especially Excel and Sheets; formulas, clean data, and tidy spreadsheets are second nature Familiarity with tools like Microsoft 365, Trello, Slack, or Notion is a plus, even though we do not use all of them today Excellent written and verbal communication; email is your primary channel with designers and your writing should reflect the quality of the brand Professional, friendly phone presence Accurate with numbers and data; you catch the mismatch before it becomes a problem Able to prioritize across competing requests and keep calm on a busy day Who you are You want to own this role, not just fill it; you are self-motivated and you see what needs doing before anyone asks You bring a collaborative, open spirit; you would rather ask a great question than make an assumption, and you share what you know with the team You spark joy through excellence in quality and service; you hold yourself to a high standard because that is how you operate, and it shows in how you follow through with designers and teammates You are creative and efficient; you find smart, simple ways to solve problems You have a real interest in interior design and beautiful, handmade objects, and you enjoy talking with the people who create beautiful spaces You do not see any task as beneath you; if the mail needs sorting or a plant needs watering, you handle it You are reliable; the team and our designers depend on you being here 60-Day Introductory Period The first 60 days are a structured introductory period. You will train alongside the current coordinator and the COO across phones and email, order processing, purchasing and receiving, and bookkeeping support. At the end of 60 days, the COO will conduct a review based on four benchmarks: Can you handle inbound designer inquiries and prepare accurate estimates independently? Are orders, purchases, and payments entered accurately and on time across our systems? Is the studio inbox, filing, and supply flow organized and current? Are you reliable in attendance, responsiveness, and team contribution? Successful completion of the introductory period results in a compensation review and transition to regular employment status.
