•Active as of 29th July 2026• Position Overview Kingfisher Heat Pumps is seeking a highly organized and personable Customer Service & Operations Coordinator to serve as the first point of contact for our customers while helping coordinate the internal operations that keep projects running smoothly. This role blends customer service, scheduling, and light operations management . You will communicate with homeowners, coordinate site visits and installations, assist with project logistics, and help maintain the systems that keep our team organized. The ideal candidate is detail-oriented, calm under pressure, and comfortable juggling multiple priorities while providing excellent customer experiences. Key Responsibilities Customer Service Serve as the primary point of contact for customer inquiries via phone, email, and web forms Respond promptly to new inquiries and schedule consultation calls Provide clear communication to customers about project timelines and next steps Maintain professional and empathetic communication with homeowners Manage inbound calls and route them appropriately Track customer interactions in company systems Scheduling & Coordination Schedule consultations, site visits, and installations Coordinate calendars for sales, design, and installation teams Confirm appointments with customers Manage job schedules and adjust timelines as needed Coordinate subcontractors and internal staff schedules Operations Support Help track projects from inquiry through installation Maintain organized job records and documentation Assist with purchase orders and material coordination Track project deposits and basic invoicing support Help ensure projects stay on schedule Systems & Administration Maintain CRM and project tracking systems Assist with proposal preparation and sending customer documents Maintain organized digital files for projects Assist with operational reporting and internal tracking Required Skills 1-3 years of customer service experience Excellent written and verbal communication Strong organization and time management Ability to manage multiple tasks simultaneously Comfort working with customers and technical staff Strong problem-solving skills Professional and friendly demeanor Preferred Experience 5+ years of customer service experience Experience in construction, HVAC, or home services industries Scheduling or operations coordination experience Familiarity with CRM systems, scheduling software, or project management tools Experience with invoicing or accounting software (such as Xero or QuickBooks) Personal Traits The right person for this role is: Highly organized Calm under pressure Detail-oriented Friendly and professional Comfortable working in a fast-moving small business environment Interested in learning about high-performance homes and energy systems Compensation and Benefits Competitive salary based on experience Paid time off Opportunities for growth as the company expands On the job training 401(k) matching About Kingfisher Kingfisher Heat Pumps specializes in high-performance heating and cooling systems ,.
