Position Summary The Operational Coordinator serves as the central administrative and operational support role for the Leland branch. This position combines warehouse administration, customer service, scheduling coordination, and operational support responsibilities to ensure the efficient flow of materials, deliveries, installations, service work, and office operations. The Operational Coordinator works closely with customers, warehouse personnel, installers, sales staff, vendors, and management to support daily operations and maintain exceptional customer service. Essential Duties and Responsibilities Scheduling & Coordination Coordinate and maintain installation, delivery, service, and warranty schedules. Communicate scheduling updates to customers, installers, sales personnel, and operational staff. Confirm customer appointments and resolve scheduling conflicts. Coordinate punch list completion and warranty service appointments. Monitor project timelines and help ensure operational deadlines are met. Maintain scheduling calendars and distribute schedules to appropriate team members. Warehouse Administration Maintain warehouse delivery and installation calendars. Assist with routing and organizing daily delivery workloads. Ensure paperwork associated with deliveries, installations, and warehouse transactions is complete and accurate. Track inventory receipts, transfers, and warehouse storage locations. Maintain accurate inventory records and assist with inventory counts. Communicate inventory shortages, damages, or discrepancies to management. Support warehouse organization and documentation processes. Administrative Support Answer incoming phone calls and direct inquiries appropriately. Greet customers, vendors, and visitors professionally. Prepare reports, forms, spreadsheets, and operational documents. Process and maintain operational records and customer files. Assist with order processing and data entry. Maintain electronic and paper filing systems. Support branch management with administrative tasks and special projects. Customer Service Serve as a primary point of contact for customer inquiries regarding deliveries, installations, service, and warranty work. Communicate clearly and professionally with builders, homeowners, contractors, vendors, and installers. Resolve customer concerns and escalate issues when necessary. Maintain records of customer communications and service activities. Follow up with customers to ensure satisfaction and issue resolution. Operational Support Assist management with tracking operational performance metrics. Coordinate communication between sales, warehouse, purchasing, and installation teams. Monitor open service issues to ensure timely completion. Support branch initiatives focused on efficiency, customer satisfaction, and continuous improvement. Help maintain compliance with company policies, safety standards, and operational procedures. Perform other duties as assigned. QualificationsEducation High School Diploma or GED required. Associate degree in Business Administration, Logistics, Supply Chain, or related field preferred. ExperienceMinimum of 3 years of administrative, warehouse coordination, customer service, or scheduling experience required. Experience in cabinetry, construction, building products, logistics, or warehouse operations preferred. Experience coordinating multiple schedules and priorities in a fast-paced environment preferred. Knowledge, Skills & Abilities Strong organizational and time management skills. Excellent verbal and written communication skills.
Ability to manage multiple priorities and deadlines simultaneously. Strong customer service and conflict-resolution abilities. Attention to detail and accuracy.
Ability to work independently and as part of a team. Strong problem-solving and decision-making skills. Proficiency in Microsoft Outlook, Excel, Word, and other business software. Knowledge of inventory management and scheduling systems preferred. Ability to maintain confidentiality and professionalism. Physical Requirements Ability to sit, stand, and walk for extended periods. Ability to frequently use hands and fingers for computer and office equipment operation. Ability to occasionally lift up to 25 pounds.
Ability to move throughout warehouse and office environments. Ability to communicate effectively in person and by telephone. Work Environment Combination office and warehouse environment. Frequent interaction with customers, vendors, delivery personnel, installation teams, and internal departments. Fast-paced environment requiring frequent task prioritization and coordination.
