The Project Coordinator is a part of our Order Fulfillment Team and is responsible for the commercial components of project execution. The responsibilities of the Project Coordinator include coordinating and leading meetings, compiling proposals, managing the equipment schedule, ensuring project specific documentation is submitted on time, data entry, order management, and project close-out activities. Impact:
Collaborating with the other Project Coordinators, Project Managers, Insides Sales Engineers, and Account Managers within the company to achieve customer goals. Keeping internal and external customers updated on the project status to ensure successful project execution. Working internally to provide value to the company while the Project Managers manage customer expectations. What does the Project Coordinator do? The Project Coordinator provides timely and consistent management of project processes while improving workflow efficiency. This includes coordinating processes to avoid LD charges related to the late submittal of documentation, drawings, and equipment delivery. The PC establishes ownership of project requirements, maintaining customer satisfaction and loyalty, and proactively identifying and responding to inconsistencies that may occur through the project process.
Customer Responsibilities:
Developing an understanding of our project requirements, systems, and process requirements to add value and build customer loyalty. Developing and coordinating documentation submittals, product status updates, shipping releases, and general order management communication. Partnering with factory personnel to meet contractual obligations, driving delivery dates and maintaining the schedule while providing consistent manufacturing status updates to the customer. Identifying, building, and maintaining relationships with our customers' purchasing, expediting, and operations staff.
Experitec and Emerson Process Team and Other Equipment Sub-Supplier Responsibilities:
Understanding the processes, tools, systems, and technology to effectively manage order fulfillment, support required schedules and effectively communicate problems and requirements. Communicating requests for quotations, product information, communications, and requirements defined by project team to Account Manager, Inside Sales Engineer, or Sales management. Coordinating and leading internal kick-off meetings with Experitec and Emerson personnel to discuss Request for Quote (RFQ) requirements and aligning on responsibilities. Reviewing purchase orders and developing a schedule of order fulfillment activities, schedules, and processes to meet customer requirements. Assigning tasks to team members to complete the order requirements. Taking ownership of meeting or exceeding submittal schedules for project orders and assisting Document Controller with processing, tracking, and submitting of documentation to customer. Reviewing order processing requirements and deadlines, ensuring order entry is complete and accurate, and communicating any post-award changes to Project Administrator while monitoring progress. Working with Emerson Project Management and other sub-suppliers to obtain correct documentation, equipment releases, and communicate changes or additional customer requirements. Managing and expediting orders with Emerson Process Management and other sub-suppliers to maintain schedules and meet customer expectations. Working with the Project Administrator and accounting team to provide documentation for the final billing and project close-out of each package to the customer. This position is part of our Order Fulfillment team within Sales organization with the specific title of Project Coordinator. Level of position will be based on relevant experience.

Required Skills, Experience & Abilities:
Bachelor's degree OR Associate's degree with two or more years of relevant experience OR Four or more years of relevant experience OR equivalent combination of four or more years of education and relevant experience. One or more years of customer service work experience. Strong skills in Microsoft Office (Excel, Word, PowerPoint, Teams), and Outlook email or similar software with ability to work efficiently and effectively within a business system. Ability to work Monday through Friday from 8am-5pm and to occasionally work additional hours upon request. Strong ability to manage multiple tasks, projects, and competing priorities while coordinating timelines and communicating status updates in a fast-paced environment. Strong out-front communication skills. This role collaborates externally with customers and internally with cross-functional teams. Must be able to take and give direction clearly over the phone and in person. Ability to demonstrate a professional, driven, positive, and collaborative attitude and work ethic while following established procedures, and providing input and ideas for improvement. Track record of accepting responsibility for workflow, assigning tasks, monitoring activities, and mentoring others in a positive manner. Ability to escalate issues appropriately and in a timely manner. Ability to lift and move up to 10 lbs. Ability to drive for the company with a valid driver's license and the ability to pass driving record background check. Ability to utilize personal vehicle for occasional work travel AND ability to rent a car when requested for work travel. Ability to follow established procedures while looking to provide input and ideas for improvement. Ability to understand and assign tasks, monitor activities, and mentor others in a positive manner.
Preferred Skills, Experience & Abilities:
Bachelor's degree OR associate's degree. Three or more years of experience in a position supporting sales. Two or more years of experience working with engineers. One or more years of accounting experience. Two or more years of experience planning and coordinating projects. Two or more years of work experience in process automation or industrial maintenance. Superior analytical and critical thinking skills, self-motivated, and reliable with willingness to extend extra effort to provide outstanding customer service. Demonstrated track record of general business acumen through internship or equivalent on-the-job training. What does Experitec do?
