Client Service Specialist or Manager/Receptionist Reports to:

Kindred Wealth Position Summary:
As the Client Service Specialist or Manager/Receptionist , you are the face and voice of Kindred Wealth, the first point of contact for our valued clients. This role is essential in creating a warm, professional, and memorable client experience both in person and over the phone. Whether greeting clients, answering calls, or supporting advisors and staff, your attentiveness and hospitality set the tone for every interaction. Above all, you are an active listener, someone who genuinely hears what clients share, picks up on personal details (like their favorite drink, upcoming trip, or family news), and helps foster deep, personalized client relationships. You will also assist with administrative support, helping ensure the office runs smoothly, efficiently, and in line with Ameriprise Financial guidelines and firm leadership expectations.
Key Responsibilities:
Client Service & Front Desk Experience (Top Priority): Greet clients warmly upon arrival and make them feel welcome and at ease Answer incoming calls promptly and professionally; direct calls or provide assistance as needed Schedule client meetings for advisory team Listen attentively during all client interactions and note personal details to enhance future engagement Prepare meeting materials, including eMeeting decks Coordinate the creation and processing of client forms and applications through to completion Mail birthday and holiday cards; maintain appropriate inventory Update client records when requested by advisors Serve as a friendly, efficient point of contact between clients and the advisory team
Administrative & Advisor Support:
Provide day-to-day administrative support to advisors Review and respond to emails as needed Assist with special projects and events as assigned Help maintain the overall office environment, supporting a positive team culture Preform other duties as assigned
Office & Practice Management:
Handle mail (incoming, outgoing, overnight deliveries) in compliance with firm requirements Maintain organized client files and records in accordance with Ameriprise compliance standards Manage office supply inventory Use systems and tools such as calendars, task lists, and CRM to manage daily workflow effectively Keep processes and documentation up to date and compliant with regulatory guidelines
Qualifications:
Bachelor's degree or equivalent combination of education and experience Strong written and verbal communication skills; professional phone etiquette Exceptional listening and interpersonal skills High attention to detail, with a strong sense of discretion and confidentiality Ability to manage multiple priorities in a fast-paced environment Strong organizational skills and the ability to work independently and proactively Empathy, warmth, and a sincere interest in people
Technical Skills:
Proficiency in Microsoft Office (Word, Excel, Outlook, Teams), Adobe, and CRM systems Ability to learn and navigate Ameriprise Financial tools and platforms Familiarity with scanning, filing, and basic document management tools
Work Environment & Physical Demands:
Standard office environment typical of a professional financial services firm Must be able to manage mental focus, emotional presence, and pace in a dynamic, client-facing role Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions

Additional Details:
Quarterly Bonus and Variable Compensation Pay:
$21.15 - $25.50 per hour
