We're a locally owned, family-operated mechanical services company that has served the Fort Worth and DFW community for more than 20 years. We're looking for a Part-Time Customer Service & Administrative Coordinator who wants to help us protect that reputation. This is an important role within our company. You'll often be the first person a customer speaks with and one of the last people involved before a job is officially complete. If you're organized, personable, dependable, comfortable working with numbers and software, and you're the type of person who notices when something doesn't look quite right, we'd like to meet you. What You'll Do You'll support both the Mechanical and Plumbing sides of our business, primarily in four areas. Customer Service & Scheduling You'll help customers get the right person to the right place at the right time. Answer incoming customer calls and inquiries Listen to customers, gather accurate information, and document their needs Schedule service appointments and estimates Communicate appointment details and expectations clearly Schedule recurring mechanical maintenance appointments Assist customers with basic scheduling and service-related questions Route technical, urgent, or unusual situations to the appropriate team member Schedule follow-up appointments or additional work identified by technicians You don't need to be an HVAC or plumbing technician. You do need to be comfortable learning our business so you can communicate confidently and professionally with customers. Daily Job Audit & Closeout One of the most important parts of this position is helping make sure the work performed in the field is properly documented, billed, and followed through. Each business day, you'll review jobs in Housecall Pro and help verify that: Jobs have the correct status Billing and invoices are accurate Applicable taxes have been properly applied Required estimates or quotes were provided Payments and outstanding balances are documented appropriately Follow-up work identified during the service call has been scheduled or assigned Customer and job notes are complete Jobs are administratively ready to be closed Think of yourself as the second set of eyes helping make sure nothing gets lost between completing the work and completing the customer experience. Accuracy matters. Accounting & Receivables Support You'll also provide limited administrative accounting support, including: Entering accounts payable information into QuickBooks Online Monitoring accounts receivable Following up professionally with customers regarding outstanding balances Documenting collection activity Escalating unresolved or unusual accounts to management This is not a full-charge bookkeeping position. We're looking for someone comfortable working with financial information, following established processes, and paying close attention to detail. Customer Follow-Up Our relationship with a customer shouldn't end when the technician drives away. You'll help manage our Happy Customer follow-up process, including phone calls and SMS communication after completed jobs.
The goal is simple:
make sure customers are satisfied, identify concerns that need attention, thank customers for choosing Comfort Tech, and help satisfied customers share their experience. You'll also assist with appropriate follow-up on: Open estimates and quotes Recommended work that hasn't yet been scheduled Recurring maintenance Customer questions requiring additional attention This isn't high-pressure sales. It's professional follow-through. Keeping Customer Information Accurate Because you'll work extensively inside Housecall Pro, you'll also help maintain clean and accurate customer records, including contact information, service addresses, customer and job notes, relevant service information, duplicate or incomplete records, and follow-up requirements. Good information helps the entire team serve customers better. Who We're Looking For Experience matters, but we're equally interested in how you work. If you see a job that hasn't been properly invoiced, an estimate that was promised but never sent, or a customer who needs a follow-up appointment, we don't want you to simply move on to the next task. We want you to notice it and help get it resolved. Experience We'd Like to See Previous experience in customer service, office administration, scheduling, dispatching, home services, HVAC, plumbing, construction, or another service-based business is helpful. Experience with the following is a plus: Housecall Pro QuickBooks Online CRM or field-service management software Accounts receivable Accounts payable/data entry Customer scheduling or dispatch HVAC, plumbing, or other skilled trades Housecall Pro or HVAC/plumbing experience is not required for the right candidate. Strong customer service skills, attention to detail, reliability, and the ability to learn are more important.
