We're looking for a reliable, organized, and customer-focused professional to join our team as a Customer Experience & Office Coordinator. About the Role The Customer Experience & Office Coordinator position serves as the first point of contact for our customers and plays a key role in keeping our office and scheduling operations running smoothly. You'll answer incoming inquiries, schedule appointments, support customer communication, maintain accurate records, and help ensure our team delivers an exceptional experience from the first phone call through project completion. This is an ideal opportunity for someone who enjoys helping people, staying organized, and being an essential part of a growing small business. This position reports directly to the owner and works closely with our Bookkeeper to support the day-to-day operations of the business. What You'll Do Customer Service & Lead Intake Answer incoming phone calls, web inquiries, and customer requests in a professional and friendly manner. Gather customer information and schedule appointments for our sales and estimating team. Follow up on missed calls, voicemails, and pending inquiries. Help ensure prospective customers receive timely communication and excellent service. Scheduling & Coordination Schedule and confirm appointments. Coordinate calendar updates and scheduling changes with team members. Communicate with customers regarding appointment timing and project-related updates. Support coordination between customers, sales staff, and field personnel. Office Administration Maintain organized and accurate customer and job records. Assist with permits, warranty documentation, filing, and general office administration. Support office organization, supplies, and day-to-day administrative needs. Assist with other administrative and bookkeeping-related tasks as assigned. Systems & Recordkeeping Maintain accurate information in company software and customer databases. Ensure customer records, notes, and documentation are complete and current. Help identify opportunities to improve office processes and workflows.
