Full-Time | Monday-Friday Join Our Team Smoke Stacks Inc. is looking for an organized, dependable, and customer-focused Office Manager / Customer Service Representative to help keep our office running smoothly and provide excellent service to our customers. If you're the person who likes keeping things organized, enjoys talking with customers, can handle several priorities without losing track of the details, and takes pride in helping a team succeed, we'd like to meet you. Previous chimney industry experience is not required. We will provide industry-specific training. What You'll Do You'll be an important part of the daily operation of our company, helping customers and supporting our field and office teams.
Responsibilities include:
Answering incoming calls and assisting customers Scheduling and confirming customer appointments Providing friendly, professional customer service by phone and email Managing and updating the company schedule Coordinating appointments with technicians and customers Entering and maintaining accurate customer information Assisting with invoices, payments, and basic office paperwork Assisting with payroll-related administrative tasks Maintaining organized electronic and paper files Ordering and maintaining office supplies Managing calendars and appointments Following up with customers as needed Assisting with customer onboarding and communications Helping with social media and basic marketing projects as needed Supporting technicians and management with daily office needs Helping keep the office organized and running efficiently What We're Looking For We're looking for someone who is professional, dependable, organized, and comfortable communicating with customers.
A successful candidate should have:
Strong customer service skills Excellent telephone and communication skills Strong organizational and time-management skills Attention to detail and accuracy Ability to manage multiple priorities Professional written and verbal communication skills Ability to remain organized in a busy office Comfortable working with computers and learning new software Ability to work independently and as part of a team Dependable attendance and punctuality A positive, problem-solving attitude Computer Skills Experience with the following is helpful: Microsoft Word Microsoft Excel Microsoft Outlook Microsoft Office Email and calendar systems Customer scheduling or CRM software Don't know our specific software?
