Key Responsibilities:
Client Communication:
Answer incoming phone calls, emails, and in-person inquiries in a professional and friendly manner. Provide accurate information regarding our spay/neuter services, pricing, appointment availability, and pre/post-operative instructions. Address client concerns, answer questions, and resolve issues with patience and empathy. Effectively communicate complex medical information in an easy-to-understand way.
Appointment Scheduling and Management:
Schedule spay/neuter appointments efficiently and accurately using our clinic software. Confirm appointments and send reminders to clients. Manage appointment changes, cancellations, and reschedules. Maintain organized and up-to-date client records.
Admissions and Discharges:
Greet clients and their pets warmly upon arrival for appointments. Complete admission paperwork, ensuring all necessary information is collected and consents are obtained. Review pre-operative instructions with clients and answer any last-minute questions. Process payments for services. Review post-operative care instructions with clients during discharge, ensuring they understand medication schedules and signs to watch for.
Administrative Support:
Maintain cleanliness and organization of the reception area. Process financial transactions accurately and reconcile daily reports. Assist with inventory management of client-facing supplies. Collaborate effectively with veterinary technicians and veterinarians to ensure seamless client flow and communication. Perform other administrative duties as assigned to support clinic operations.
Client Education:
Educate clients on the importance of spay/neuter, responsible pet ownership, and preventative care. Provide resources and information on local pet services and animal welfare organizations when appropriate.
Qualifications:
High school diploma or equivalent; some college education preferred. Minimum of [e.g., 1-2] years of experience in a customer service role, preferably in a veterinary clinic or animal care setting. Genuine passion for animals and their well-being. Excellent verbal and written communication skills. Strong interpersonal skills with the ability to interact effectively with diverse clientele, often under emotional circumstances.
