$85,000 - $115,000 per year Job Details - We are seeking a Service Operations Representative to serve as the key link between customers, technicians, and our core service team in Alameda, CA. In this role, you will help organize and support preventive maintenance agreements (PMAs) and core service work order transactions from start to finish. You will coordinate initial PMA visits, communicate with customers about scheduling and site requirements, support data accuracy, and help ensure renewals and retention efforts are handled professionally and on time. This position is ideal for someone who thrives in a fast-paced environment, enjoys customer interaction, and takes pride in keeping service operations running smoothly.
Responsibilities:
Coordinate first-time preventive maintenance visits by communicating with customers and assigned technicians Confirm booking details, including scope of work, equipment information, visit counts, and billing details Track site access requirements, security protocols, keys, badging, and other important site-specific information Proactively contact customers regarding PMA renewals, pricing updates, and retention opportunities Maintain accurate PMA records and resolve missing or incomplete information with technicians, customers, and internal teams Document customer feedback, service notes, and communication outcomes in the service management system
Qualifications:
Previous experience in a similar role, preferably in HVAC, mechanical, construction, or service operations Proficiency in Microsoft Office Suite and comfort learning new service management systems Understanding of service contract management, customer service, and process improvement High school diploma or equivalent required A bit about us: - We are a reputable commercial contractor with over 30 years of experience in the mechanical services industry.
