Job Description

Pacific Bay Equipment is seeking an organized, customer-focused Service Writer to support our service department. The Service Writer will serve as the main point of communication between customers and our service technicians, helping ensure service and repair jobs are properly documented, communicated, approved, and completed in a timely manner. Our service department works on a variety of industrial cleaning equipment, including pressure washers, steam cleaners, parts washers, floor scrubbers, wastewater/recycle systems, and related equipment. This position is ideal for someone who is organized, comfortable communicating with customers, able to manage multiple jobs at once, and has a basic understanding of mechanical equipment or is willing to learn. Key Responsibilities Customer Service & Communication Serve as a primary point of contact for customers bringing equipment in for service or requesting repairs. Gather accurate information regarding equipment problems and customer concerns. Provide customers with updates regarding repair status, estimates, parts availability, and expected completion. Communicate technician findings and recommended repairs to customers in a clear and professional manner. Obtain customer authorization before proceeding with repairs when required. Follow up with customers regarding pending estimates, approvals, and completed equipment. Service Work Orders Create and maintain accurate service work orders for incoming equipment. Document customer concerns, equipment information, technician findings, parts used, labor, and repair notes. Ensure service jobs contain the necessary information before being assigned or closed. Monitor open work orders and follow up on jobs that are awaiting parts, customer approval, or additional information. Help ensure completed work orders are properly documented and ready for invoicing. Service Scheduling & Coordination Coordinate incoming service jobs with service technicians and the Operations Manager. Help organize the flow of equipment through the service department. Track repair progress and communicate priorities, deadlines, and customer expectations to technicians. Coordinate with the Parts Department regarding parts needed for repairs. Help identify delays and communicate them promptly to the appropriate customer or department. Estimates & Repair Approvals Assist with preparing repair estimates based on technician recommendations, labor requirements, and parts needed. Send estimates to customers and follow up for approval. Clearly document approved and declined repairs. Communicate any changes to the original estimate before additional work is performed. Customer Pickup & Job Completion Notify customers when equipment is ready for pickup or delivery. Review completed repairs with customers when necessary. Ensure service documentation is complete before equipment is released. Help maintain accurate records of completed, pending, and open service jobs. General Service Department Support Maintain organized customer and service records. Assist with warranty documentation and service-related paperwork when needed. Work closely with technicians, Parts, Sales, Operations, and administrative staff. Help maintain an organized and professional service counter and customer service area. Perform other service department administrative duties as needed. Skills & Qualifications Strong customer service and communication skills. Excellent organizational skills and attention to detail. Ability to manage multiple service jobs and priorities at the same time. Comfortable communicating with customers by phone, email, and in person. Strong computer skills and ability to learn service management and inventory software. Experience with Microsoft Outlook, Word, and basic Excel preferred. Mechanical knowledge or previous experience with equipment, automotive, industrial, or similar service environments is preferred. Ability to understand basic technical information and communicate technician findings to customers. Dependable, professional, and able to work effectively with multiple departments. Previous experience as a Service Writer, Service Advisor, Service Coordinator, or similar customer service position is preferred but not required. Position Expectations The Service Writer is responsible for helping keep service jobs organized and customers informed throughout the repair process. This position is not a technician lead or supervisory position . The primary focus is customer communication, documentation, coordination, and supporting an efficient flow of work through the service department.
