Position Summary The Service Writer is the primary point of contact for customers visiting the service department. This role is responsible for creating a welcoming experience, assessing customer needs, recommending appropriate repairs and maintenance, accurately writing work orders, and coordinating repair scheduling. The Service Writer serves as the bridge between customers and technicians, ensuring clear communication, efficient workflow, and exceptional service from intake to pickup. Key Responsibilities Customer Service & Sales Greet customers and provide a professional, friendly, and knowledgeable service experience. Listen to customer concerns and assess the condition of bicycles to determine service needs. Recommend maintenance, repairs, upgrades, and safety-related services based on customer needs and bicycle condition. Clearly explain service recommendations, timelines, and pricing. Build trust and long-term customer relationships through excellent communication and follow-through. Service Intake & Work Order Creation Inspect incoming bicycles and document service needs accurately. Create detailed repair orders in the Point of Sale (POS) system. Add the appropriate labor operations, parts, and service notes to each work order. Ensure all customer information, bicycle details, and requested services are accurately recorded. Send repair estimates and receipts to customers through approved communication channels. Scheduling & Workflow Management Schedule repairs using the service department labor planner. Balance incoming work with available technician capacity to maintain realistic completion dates. Monitor daily and weekly service workload to maximize efficiency and customer satisfaction. Coordinate with mechanics and service management to prioritize repairs appropriately. Communicate schedule changes, delays, and updates to customers as needed. Repair Order Management Track repair progress and ensure work orders move efficiently through the service process. Follow up with customers regarding approvals, additional repair recommendations, and completion updates. Verify completed work orders for accuracy before customer pickup. Ensure all labor, parts, and charges are entered correctly prior to closing repair orders. Team Collaboration Work closely with service technicians, service managers, and sales staff to provide a seamless customer experience. Communicate repair priorities and customer expectations clearly to the service team. Assist with maintaining a clean, organized, and professional service area. Qualifications Strong customer service and communication skills. Sales and bike mechanic experience and the ability to confidently recommend services and repairs. Knowledge of bicycle components, maintenance, and repair practices preferred. Strong organizational and time-management skills. Comfortable using POS systems, scheduling software, and computer applications. Ability to multitask and remain organized in a fast-paced environment. Detail-oriented with a commitment to accuracy. Success in This Role Customers feel welcomed, informed, and confident in recommended repairs. Repair orders are accurate, complete, and easy for technicians to execute. Service schedules are balanced and realistic based on available labor capacity. Repair turnaround times meet expectations and department goals. The service department operates efficiently while delivering an exceptional customer experience. The Service Writer plays a critical role in the success of the service department by combining technical knowledge, sales ability, organization, and customer service to create a world-class bicycle repair experience. Individuals with prior bike shop experience as a bicycle mechanic are preferred for this position, however we are willing to train the right person.
