As we continue to grow and expand our presence, we are seeking an experienced and customer focused Service Writer to join our Santa Fe Springs team.

Job Summary:

The Service Writer acts as the critical liaison between customers and the service department. This role is responsible for creating work orders, communicating repair needs, coordinating with technicians, and ensuring a smooth and efficient workflow in the shop. The Service Writer provides exceptional customer service while ensuring all service-related documentation is accurate, complete, and timely.

Key Responsibilities:

Greet customers and gather detailed information regarding equipment issues, service needs, and repair history Open, maintain, and close work orders in the system, ensuring accurate descriptions, labor times, and parts used Communicate with technicians and the parts department to ensure timely repair completion and correct part sourcing Estimate costs and prepare quotes for customers, including labor, parts, and additional services Keep customers informed of job status, delays, or additional needed repairs. Schedule service appointments and help prioritize work based on urgency and shop capacity. Review completed work with the customer and assist with warranty claims and post-service follow-up Ensure compliance with safety and company policies throughout the repair process Maintain organized records of all service work, communications, and approvals.

Qualifications:

High school diploma or equivalent is preferred. Must have at least 2 years of previous parts, technician or service writer experience. Experience working with heavy equipment, diesel, or automotive industry is beneficial but not required. Proficient with computers MS Office, inventory management software and service software/CRM systems. Strong organizational skills and attention to detail. Ability to understand mechanical terms and concepts. Customer-focused with strong problem-solving abilities. Excellent communication and customer service skills.
