BuenaVet is seeking a compassionate, organized, and team-oriented Client Care Coordinator to join our veterinary hospital. This position is ideal for someone who enjoys building meaningful relationships with clients, providing exceptional customer service, and supporting a collaborative veterinary team. As a Client Care Coordinator, you will be the first point of contact for our clients and an important part of ensuring every patient and pet owner has a welcoming, positive experience. This role combines front-office responsibilities with opportunities to assist with patient care and hospital operations after completing appropriate training.
Responsibilities:
Greet clients and their pets warmly and create a welcoming, supportive hospital experience. Answer incoming calls, respond to messages and emails, and direct client questions appropriately. Schedule appointments, procedures, and follow-up visits while maintaining an organized and efficient appointment calendar. Confirm upcoming appointments and provide reminders and relevant instructions. Maintain accurate client and patient information in the practice management system. Document client communications and assist with requesting and sending medical records. Check clients and patients in and out, process payments, and assist with available payment options. Prepare treatment estimates and communicate financial information clearly and professionally. Maintain accurate financial records, assist with cash-drawer reconciliation, and complete assigned opening and closing duties. Keep the reception area, lobby, exam rooms, and shared hospital spaces clean, organized, and appropriately stocked. Follow up with clients regarding patient visits, appointments, and other hospital communications. Work collaboratively with veterinarians, veterinary technicians, assistants, and fellow client care team members. Provide compassionate support to clients during sensitive or emotional situations. Following training, additional responsibilities may include: Escorting clients and patients into exam rooms and obtaining basic patient information. Assisting with safe patient handling and restraint as appropriate. Supporting veterinarians and technicians during exams and routine procedures. Preparing or communicating treatment plans and discharge instructions under the direction of the veterinary team. Assisting with prescription preparation as directed and within applicable scope-of-practice requirements. Helping maintain exam rooms, treatment areas, pharmacy supplies, and other hospital workspaces. Assisting with basic laboratory preparation and other support tasks based on training and experience.
Qualifications:
High school diploma or equivalent required; additional education is a plus. Previous veterinary, medical, hospitality, or customer service experience preferred but not required. Excellent verbal and written communication skills. Strong organizational skills, attention to detail, and the ability to manage multiple priorities. A compassionate, professional, and client-focused approach. Ability to work effectively in a fast-paced, team-oriented environment. Comfort using computers, scheduling systems, and practice management software; experience with AVImark is a plus. Willingness to learn veterinary terminology, hospital workflows, and basic patient-support responsibilities. Ability to stand, walk, and remain active throughout the workday and lift up to 40 pounds, with reasonable accommodations as appropriate.
Schedule and benefits Full-time schedule:
Four 10-hour shifts between Monday-Friday Medical insurance Paid time off: Two weeks during the first year; three weeks after more than three years of service.
