About the Role We're looking for an experienced, customer-focused Bicycle Service Writer to join our service department. As a Service Writer, you'll be the primary point of contact for customers bringing their bikes in for service. You'll evaluate bikes at intake, understand the customer's needs, identify service opportunities, create accurate repair estimates and work orders, and coordinate with our mechanics to keep repairs moving efficiently. This is a customer service and sales role within a professional bicycle service department . The best Service Writers are great communicators who can build trust, understand what a bike needs, and confidently recommend the right repairs, maintenance, parts, and accessories. We're not interested in high-pressure sales—we're looking for someone who can provide thorough, knowledgeable recommendations that genuinely help the customer. You'll work closely with the Service Manager, Lead Mechanic, and service technicians to provide a seamless experience from check-in through pickup. What You'll DoService Intake & Customer Experience Greet customers and serve as their primary point of contact throughout the service process. Inspect bicycles at intake and listen carefully to the customer's concerns, goals, and intended use. Identify service needs and work with technicians when additional technical evaluation is needed. Clearly explain recommended repairs, parts, labor, timelines, and costs. Create detailed and accurate work orders documenting the bike's condition, customer concerns, recommended work, and customer communications. Provide excellent customer service in person, over the phone, by text, and by email. Service Sales & Customer Advocacy Identify opportunities to provide additional value by recommending necessary repairs, preventative maintenance, and appropriate parts or accessories based on the bike's condition and the customer's needs. Confidently explain repair recommendations and help customers understand the value of addressing issues now versus deferring them. Work toward service department goals for revenue, average repair ticket, efficiency, and customer satisfaction . Build trust through recommendations that are thorough, appropriate, and never pressure-driven. Follow up with customers when additional work is identified or approvals are needed. Work Order & Service Workflow Keep work orders accurate, organized, and moving through the service process. Coordinate closely with mechanics to communicate customer concerns and repair priorities. Help manage service scheduling and turnaround times. Track parts needs and help prevent delays caused by missing components or customer approvals. Keep customers informed about repair status, changes, and completion dates. Use Lightspeed Retail and other shop systems to manage work orders, scheduling, customer information, and parts. Team Collaboration Work closely with the Service Manager, Lead Mechanic, and service technicians. Communicate clearly when handing off bikes and repair information to mechanics. Help resolve questions or issues that arise during the repair process. Contribute to an organized, efficient, and positive service department. General Shop Support Help maintain a clean, organized, and professional service area. Assist with inventory stocking and other general shop-keeping tasks. Assist with basic bicycle assembly and service tasks as needed. Complete manufacturer training and online education as appropriate, including SRAM, Shimano, Cannondale, and other brands we sell and service. What We're Looking For We're looking for someone who brings strong customer service skills, bicycle knowledge, sales ability, and excellent organization . Excellent communication and customer service skills. Strong knowledge of bicycle systems, components, and basic bicycle mechanics. Ability to evaluate a bicycle and identify common service and maintenance needs. Sales-minded and comfortable confidently recommending appropriate services, repairs, parts, and accessories. Strong problem-solving skills and attention to detail. Excellent organizational and time-management skills. Ability to prioritize and multitask in a busy service environment. Comfortable moving between customers, phone calls, work orders, mechanics, parts issues, and other competing priorities throughout the day. Openness to feedback and willingness to learn. Ability to work independently while contributing to a team. Ability to lift up to 55 lbs. Experience & Technical Qualifications Previous professional bike shop or bicycle service experience strongly preferred . Previous experience as a bicycle service writer, service advisor, or customer-facing bicycle service professional is a plus. Experience creating repair estimates and service work orders is a plus. Experience with Lightspeed Retail or similar bicycle shop management software is a plus. Basic bicycle repair or mechanic experience is a plus.
