Job Description
- Serve as a primary point of contact for routine client-service needs.
- Communicate with clients professionally by phone and email.
- Take ownership of inquiries and follow them through to completion.
- Clearly explain documentation requirements, next steps, and expected completion times.
- Proactively update clients and advisors regarding outstanding or time-sensitive items. Account administration and operations
- Prepare and process new accounts, account maintenance, money movements, transfers, beneficiary changes, and other service requests.
- Monitor account alerts, operational notifications, and not-in-good-order items.
- Review daily reports relating to cash, distributions, RMDs, debits, pending settlements, and recurring transactions.
- Coordinate with the broker-dealer, custodian, product sponsors, and internal departments to resolve operational issues.
- Maintain accurate documentation and follow all firm policies and supervisory procedures. Advisor and meeting support
- Manage client scheduling and maintain accurate CRM records.
- Prepare paperwork and identify outstanding requirements before client meetings.
- Provide advisors with concise updates regarding completed work, pending items, and required decisions.
- Anticipate recurring client needs, including RMDs, tax-document requests, and scheduled distributions. Office coordination and process improvement
- Support the efficient day-to-day operation of the office.
- Help clients adopt eSignature, electronic delivery, online account access, and other available technology.
- Identify ways to improve workflows, reduce errors, and limit incomplete submissions.
- Maintain confidentiality and exercise sound judgment when handling sensitive client information. Qualifications
- Exceptional attention to detail and follow-through.
- Strong organizational skills and the ability to manage multiple priorities.
- Professional written, telephone, and interpersonal communication.
- Ability to explain financial and operational information clearly.
- Strong problem-solving and research skills.
- Comfortable taking ownership while knowing when to escalate an issue.
- Proficiency with Microsoft Office; CRM and document-management experience preferred.
- Financial-services or other professional-services experience strongly preferred.
- Experience with Redtail, SharePoint, eMoney, LPL, Schwab, or Fidelity is helpful but not required.
- High level of discretion when handling confidential client information.
