•24 per hour, based on experience About the Position Boston Corporate Coach™ is seeking an exceptional Client Services & Reservations Specialist to join our team in Maitland, Florida. We provide high-end chauffeured transportation for corporate executives, executive assistants, travel professionals, private aviation clients, meetings, events and individual travelers throughout the United States and internationally. We are looking for someone who combines three qualities exceptionally well: Outstanding customer service. Excellent communication. Exceptional attention to detail. This is a customer-facing, detail-intensive position. You will spend a significant portion of your day speaking with customers and transportation partners, managing reservations and making sure every detail is correct. This is not a warehouse, trucking, freight or delivery dispatch position. Previous chauffeured transportation experience is helpful. We would rather hire an exceptional customer service professional who is highly detail-oriented and teach that person our industry than hire someone with transportation experience who doesn't have the communication skills and attention to detail our clients require. Attention to Detail Is Critical This is one of the most important requirements of the position. Small mistakes can have significant consequences. Entering the wrong date, overlooking a flight change, selecting the wrong airport, missing an instruction or failing to document a conversation can affect an entire trip. We're looking for someone who naturally checks their work. You should be the type of person who notices when something doesn't look right, asks questions when information is unclear and verifies details rather than making assumptions. Accuracy, organization and follow-through are essential to succeeding in this position. What You'll Do A large part of your day will involve communicating directly with customers and our transportation partners by telephone and email.
Responsibilities include:
Answering incoming customer calls in a polished, professional and helpful manner Taking new reservations and accurately entering all trip information Carefully reviewing reservations for accuracy and missing information Assisting customers with existing reservations, changes and cancellations Responding to customer emails clearly and professionally Providing quotes and explaining transportation options Communicating with executive assistants, corporate travelers, travel professionals and individual clients Communicating with our network of transportation partners throughout the United States and internationally Confirming availability, pricing and reservation details with transportation partners Reviewing dates, times, flight information, pickup locations and special instructions Following up on reservations to make sure outstanding details are completed Assisting customers with last-minute changes, flight delays and special requests Handling customer concerns calmly and professionally Helping resolve service issues and following them through to completion Maintaining complete and accurate reservation notes Managing multiple phone calls, emails and reservations without sacrificing accuracy Who We're Looking For We're looking for someone with exceptional customer service skills who is also extremely detail-oriented. You should be comfortable spending a significant portion of your workday speaking with customers on the telephone. The right person knows how to listen, ask good questions and communicate confidently. You should be equally comfortable helping someone make a reservation, speaking with an executive assistant, communicating with one of our transportation partners or helping an upset customer when something doesn't go according to plan. You should also be someone who catches details other people miss. If a flight number doesn't match the airport, a pickup time doesn't make sense, an address appears incorrect or important information is missing, we want you to notice it and investigate it. We need someone who can work efficiently without becoming careless when things get busy. The Backgrounds We're Most Interested In Strong candidates may come from: Luxury hotels and resorts Hotel guest services or front desk Concierge services Airline reservations or customer service Private aviation or FBO guest services Corporate travel Travel agencies Luxury hospitality Executive or VIP client services High-end retail client services Professional customer contact centers Reservation and booking services Chauffeured transportation or black-car service Industry experience is a plus, but excellent customer service and exceptional attention to detail are more important to us than transportation experience. Excellent phone presence You should sound professional, confident, friendly and composed when speaking with customers. Strong customer-service instincts You should know how to listen, understand what a customer needs and take ownership of helping them. Professional written communication You must be able to write clear, polished and professional emails. Problem-solving ability Flights get delayed. Schedules change. Customers make last-minute requests. You need to think through situations and work toward a solution. Organization You need to keep track of multiple details and outstanding items without allowing things to fall through the cracks. Composure You must remain professional when dealing with a frustrated or demanding customer. Ownership and follow-through If you become involved in an issue, we expect you to help move it toward resolution rather than simply passing it along. Ability to multitask accurately You must be comfortable moving between telephone calls, emails, reservations and customer requests while maintaining accuracy. Qualifications Professional customer service experience required Exceptional attention to detail required Excellent telephone communication skills required Strong written and verbal English communication skills Strong organizational and follow-through skills Strong computer skills and ability to learn new software Ability to manage multiple tasks without sacrificing accuracy Ability to handle customer concerns professionally Ability to work accurately in a fast-paced environment Hospitality, travel, aviation, reservations, executive services or luxury customer-service experience strongly preferred Chauffeured transportation experience is a plus Limo Anywhere experience is a plus, but not required Work Environment This is a full-time, 100% in-office position in Maitland, Florida. This position is not remote and not hybrid. Applicants must be able to reliably commute to our Maitland office for every scheduled shift. Our customers rely on us to coordinate transportation professionally and accurately. That can mean a single airport transfer, an executive traveling across multiple cities or a complex itinerary involving numerous passengers and vehicles. The person we're looking for understands that great service isn't simply answering a phone or entering a reservation. It's listening carefully, getting every important detail right, communicating professionally and making the person on the other end of the phone feel confident that everything is being handled.
