Job Description

Overview We are seeking a dedicated and detail-oriented Appointment Scheduler to join our medical practice team. The ideal candidate will be responsible for managing a high volume of inbound calls, scheduling patient appointments efficiently, and ensuring excellent communication with patients and staff. This role requires strong phone communication skills, experience in call center environments, and proficiency with Electronic Health Records (EHR) systems. The Appointment Scheduler plays a vital role in maintaining smooth daily operations and delivering exceptional patient service. Responsibilities Handle approximately 80 inbound calls daily, providing prompt and professional assistance to patients seeking appointments or information. Utilize Electronic Health Records (EHR) systems to accurately schedule, update, and manage patient appointments and related documentation. Coordinate with medical staff to ensure appointment times are optimized and patient needs are met efficiently. Confirm appointment details with patients, reschedule as necessary, and address any scheduling conflicts or inquiries. Maintain organized records of scheduled appointments and follow up on any outstanding or pending requests. Communicate effectively with patients regarding pre-appointment instructions or necessary documentation. Collaborate with the healthcare team to support operational workflows and improve patient experience. Qualifications Proven experience in a call center environment or similar customer service role involving high-volume phone communication. Strong proficiency in Electronic Health Records (EHR) systems is required. Excellent verbal communication skills with a professional and empathetic demeanor. Ability to multitask efficiently in a fast-paced environment while maintaining attention to detail. Organizational skills to manage scheduling tasks accurately and promptly. Prior experience in a medical or healthcare setting is preferred but not mandatory.
